Operations Director - Communion of Saints Church

Job Summary

Communion of Saints Church (COS) is a community of disciples formed in a common faith through a common life for the common good located in downtown Colorado Springs. We are a non-denominational, evangelical, charismatic, and liturgical church in the Wesleyan tradition.

The Operations Director serves the mission of COS by managing the church’s administrative, financial, and facility-related affairs. This role provides strategic and tactical leadership to the church’s business functions, ensuring that resources (people, buildings, systems/processes, finances, etc) are aligned with our mission and goals.

Disciple of Jesus: Must be a follower of Jesus Christ committed to the faith and practices of the historic Church.

Statement of Faith: Must subscribe to the Nicene and Apostle’s Creeds and the church’s theological distinctives while appreciating the church’s theological streams.

Specific Role Responsibilities

Serve on the church’s executive leadership team

Partner with the Lead Pastor to translate the church's vision into executable operational strategies

Identify organizational risks and develop proactive contingency plans

Develop, document, and enforce clear administrative policies and standard operating procedures for oce workflows, personnel development, oversight meetings, annual reviews, goal-setting, financial handling, security protocols, emergency responses, legal compliance, and other administrative areas

Oversee budget development, management, tracking and reporting

Monitor all financial processes and transactions, including accounts payable, payroll, and contributions, while ensuring adequate financial controls and transparent reporting

Collaborate with church’s accounting firm to create financial reports and statements, analyses, and projections

Serve as the administrative liaison with generosity consultants and financial or capital campaign committees

Act as the personnel manager for all staff, overseeing onboarding, maintaining updated job descriptions, and ensuring compliance with labor laws and church policies

Oversee the administration of employee health care, retirement, paid time off, sick leave, holiday, sabbatical, and other ancillary benefits

Serve as the liaison to brokers and insurance carriers

Process payroll ensuring timeliness and accuracy in employee compensation, classifications, tax withholdings, benefits, and reporting

Implement and oversee a multi-tiered screening policy and for safety training program for all staff and volunteers to ensure ensure a safe work place for staff and worshipping community for all congregants and compliance with insurance

Maintain and regularly update employee records, Employee Handbook, Volunteer Policy Manuals, and other organizational documents

Oversee volunteer vetting process including applications, background checks, interviews, onboarding, and training

Oversee the church management software to maximize utilization to ensure data integrity for attendance, giving, and member engagement

Oversee church calendars and provide strategic oversight to Event Coordinator

Serve as the point of contact for legal counsel and insurance agents, ensuring the church has adequate liability, property, and cyber-security coverage

Serve as the point of contract with the Commons, District 11, and other rental properties.

Serve as the project manager for the property acquisition, navigating the process from assessment to occupancy

Act as the primary point of contact for realtors, real estate attorneys, owners representatives, architects, general contractors, local building departments, and others related to church facilities.

Develop, implement, and oversee strategies to monetize church facilities

Develop guidelines for how internal ministries and external community groups use church space

Supervise maintenance and custodial staff to ensure church facilities are safe, clean, well-maintained, adequately stocked, and organized

Perform other duties as assigned

General Staff Responsibilities

Be a faithful participant in the worship, life, and mission of the church

Complete the church membership process

Collaborate with leadership, staff, and volunteers to further the vision of Communion of Saints Church

Communicate and execute this vision and strategy in areas of oversight

Meet regularly with core staff, oversight, and supervised staff and volunteers

Assist with special services and events, including but not limited to Christmas Eve, Ash Wednesday, Good Friday, Easter Sunday, Church in the Park, Congregation Meetings, etc.

Attend staff meetings, events, and retreats

Contribute to the development of a healthy staff culture

Follow and reinforce all church policies and safety protocols

Working Conditions

Physical Demands: The physical demands of the role include frequent sitting and occasionally standing, walking, and bending, as well as lifting, carrying, and pushing heavy objects. The role also requires the frequent operation of a computer and communication with staff, volunteers, congregants, and partners.

Environmental Factors: The primary setting is indoor office and communal meeting spaces. Exposure to extreme temperatures (Less than 50° F or more than 90° F) is occasional. Exposure to heights to moderate loud noise levels is occasional.
