Coastal Horizons - Office Assistant (Trauma-Informed Care Setting)
The Office Assistant performs a variety of administrative and front desk support functions while helping maintain a welcoming, safe, and supportive environment for clients, staff, and visitors.
This position requires the ability to interact with individuals who may have experienced trauma, substance use disorders, or behavioral health challenges, using principles of trauma-informed care, including empathy, confidentiality, cultural sensitivity, and professionalism.
Location: On-site
City/State/County: Shallotte, NC Brunswick County
Schedule: Full Time
POSTION HIGHLIGHTS:
  • Provide front desk coverage and greet clients in a respectful, supportive manner
  • Answer phones and assist callers with professionalism and discretion
  • Conduct appointment reminder calls
  • Schedule appointments for therapists, counselors, and other staff
  • Check in new clients and review required paperwork
  • Maintain accurate filing of client documentation
  • Collect and post client payments; assist with third-party billing as assigned
  • Maintain strict confidentiality of all client information
  • Pick up and distribute incoming mail
  • Print SAIOP certificates
  • Place orders for office supplies
  • Enroll patients into services for the expanded dosing program
  • Support daily operations of the New Hanover office and perform other duties as assigned
  • This position is subject to OSHA regulations regarding bloodborne pathogens due to potential exposure to bodily fluids.

REQUIRED EDUCATION & QUALIFICATIONS
  • High school diploma or equivalent (business coursework preferred)
  • Minimum of two (2) years of clerical or administrative experience, or equivalent combination of education and experience
  • Experience with third-party medical billing preferred
  • Ability to work a flexible schedule
  • Strong organizational, communication, and computer skills
  • Ability to interact professionally and compassionately with diverse populations in a trauma-informed environment
