Front Desk Coordinator

The Front Desk Coordinator is responsible for providing outstanding customer service with a positive attitude and a smile in a high-volume, fast-paced environment, managing incoming telephone calls, corporate inquiries, visitor traffic, and team administrative duties. This position is critical to the high level of customer service that Nexus provides to all. This individual is the first person that any client or applicant will interact with. This position is responsible for providing the front face for Nexus as an organization.

Essential Job Functions

  • Provide initial point of contact for Nexus in a professional, cordial, and efficient manner
  • Manage high-volume communications traffic via multi-line phone system and email
  • Manage high-volume visitor traffic and deliveries in accordance with security guidelines
  • Greet visitors in a prompt, courteous, and professional manner
  • Accurately direct calls/messages to the appropriate person
  • Maintain the visitor registration book and visitor badges
  • Administrative projects include communications, booking meetings, organizing information, filing, and other administrative assistant projects
  • Be a 'go-to' source of knowledge, information, and assistance for Nexus Team Members in pointing them to the appropriate person within the company
  • Maintain confidentiality of sensitive information
  • Update and maintain contacts and additional online lists
  • Coordinate the meeting room calendar
  • Clean and straighten meeting rooms after events
  • Manage incoming and outgoing mail
  • Ensure that the reception area is clean and neat
  • Provide clerical and other duties as requested
  • Maintain the company's image by example
  • Perform other duties as assigned

Requirements

  • Ability to use Microsoft products: Word, Excel, PowerPoint, Outlook
  • Basic office equipment experience is preferred (copier, fax, shipping and receiving tools)
  • Written and verbal communication skills with a demonstrated ability to deliver excellent customer service
  • Ability to multi-task and quickly adapt in a fast-paced environment
  • Strong organizational skills
  • Attention to detail

Education and Experience:

  • High school diploma or equivalent
  • 3-5 years' directly related experience as a receptionist in a professional setting.

License and Certification: None
