The Operations Coordinator - Managed Services is the day-to-day execution role supporting the MSP order-to-billing cycle. Reporting to the Operations Manager, MSP, this position performs the transactional work that keeps managed services orders moving - order review, fulfillment tasks, and the capture of revenue and billing data at month-end. The role combines hands-on execution with light coordination across departments, keeping data in NetSuite accurate and feeding order, fulfillment, and billing status up to the Operations Manager.
Salary: $55,000-$60,000
What You'll Do:
Order Processing & Fulfillment
  • Reviews sales orders received from Inside Sales and returns incomplete entries for correction before they move forward
  • Performs day-to-day fulfillment tasks and keeps individual orders moving toward completion
  • Stays aware of ETA dates on open orders and flags approaching or missed dates to the Operations Manager
  • Communicates order and fulfillment status to the Operations Manager, surfacing delays and exceptions as they arise
  • Helps organize, track, and maintain purchase orders for costs associated with MSP cloud services, internal tool platforms, and internal tool licensing

Revenue & Billing
  • Tracks recurring and non-recurring MSP services revenue throughout the month, making adjustments as they occur
  • Confirms that everything fulfilled during the month is captured for billing; generates and reconciles invoices
  • Onboards new clients into the billing and invoicing processes and platforms
  • Works with Finance and Accounting on month-end billing and revenue reporting

Recurring Operating Cadence
  • Weekly: keeps job / project and contract codes current, sets up new contracts for revenue tracking, follows up on outstanding renewals, and tracks revenue billed during the month
  • Mid-Month: processes and reviews fulfillments across billing platforms and ensures all contracts are entered and ready for billing
  • End of Month: confirms all revenue for the month has been reconciled and billed

Systems & Data (NetSuite)
  • Maintains accurate MSP order, fulfillment, billing, and cost data in NetSuite
  • Performs data entry, system updates, and inventory transactions supporting the MSP order flow
  • Supports the Operations Manager as a NetSuite user for the MSP operation, keeping records clean and current

Coordination & Process Support
  • Coordinates with Inside Sales, Finance, and buyers to keep the MSP order flow on track
  • Assists Finance with purchase order receipt and payment accuracy of vendor invoices for MSP cloud services, internal tool platforms, and internal tool licensing
  • Follows the standardized process flows defined for the MSP operation and helps document them
  • Helps organize and maintain accurate records of order status, fulfillment flow, and billing timelines
  • Provides ad-hoc reporting to the Operations Manager and assists with monthly revenue forecasting
  • Performs other job-related duties as assigned by management

What You Bring:
  • 2+ years in an operations, administrative, or revenue/billing support role, preferably in an MSP, IT services, logistics, or distribution environment
  • Proficiency with ERP systems; NetSuite experience strongly preferred
  • Familiarity with MSP billing / PSA and revenue tracking platforms a plus
  • Strong Excel and quantitative / analytical abilities
  • Keen attention to detail and relentless follow-up
  • Strong written and verbal communication skills, with the ability to adjust to a range of communication styles across clients and internal teams
  • Ability to manage multiple tasks simultaneously while maintaining clear accountability
  • Creative problem solving and the ability to devise alternative approaches to current workflows
  • Must be willing to work onsite 5 days a week

Preferred
  • Bachelor's degree in business
  • Experience supporting operations in a growing or acquiring MSP
