Facilities & MRO Administrative Coordinator

Woodhaven Enterprises LLC | Cairo, GA

Woodhaven Furniture is seeking a highly organized and dependable Facilities & MRO Administrative Coordinator to support our Maintenance, Facilities, and Environmental Health & Safety (EH&S) teams. This position is responsible for coordinating the administrative and purchasing activities that keep our facilities operating efficiently and our maintenance team supplied with the materials they need to minimize downtime. The ideal candidate enjoys working in a fast-paced manufacturing environment, has excellent attention to detail, and takes pride in keeping projects, inventory, and documentation organized.

In this role, you will serve as the central point of coordination for Maintenance, Repair, and Operations (MRO) purchasing and administrative support. You will create and track purchase orders within the ERP system, monitor inventory levels of maintenance parts and supplies, coordinate with vendors on pricing and deliveries, and ensure that equipment, materials, and services are available when needed. You will also maintain accurate records, assist with budget tracking, support preventive maintenance scheduling, and help organize documentation related to facilities projects and EH&S compliance.

Success in this position requires strong communication and follow-through. You will work closely with maintenance technicians, department managers, accounting, purchasing, and outside vendors to ensure requests are completed accurately and on time. Whether you're resolving a delivery issue, updating maintenance records, or tracking monthly department expenses, your work will directly contribute to the efficiency and success of our manufacturing operation.

To be successful in this role, candidates should have at least two years of administrative experience in a manufacturing, maintenance, or facilities environment, along with experience using Microsoft Office applications and an ERP system. Strong organizational skills, attention to detail, the ability to manage multiple priorities, and a customer-service mindset are essential. Experience with MRO purchasing, inventory management, preventive maintenance programs, or EH&S documentation is preferred.
