About the Role
The Centralized Leasing Specialist supports leasing performance across multiple multifamily communities by delivering consistent prospect engagement, coordinating leasing activities, managing application and lease processes, and ensuring a seamless customer experience from first inquiry through move-in. This role combines customer service, operational accuracy, and technology-enabled leasing support in a centralized environment.
This is a fully remote role. Preference will be given to candidates who can work from regions that align with Fairfield's established market presence in the Central Time Zone.
What You'll Do

Prospect Engagement
• Support prospect communications across phone, email, chat, and SMS.
• Qualify leads, answer questions, and maintain CRM records.
• Deliver timely and professional customer communications.
• Identify prospect needs and escalate issues when appropriate.
Tour Coordination
• Schedule and coordinate onsite and virtual tours.
• Send confirmations, reminders, and follow-up communications.
• Re-engage no-shows, cancellations, waitlisted prospects, and completed tours.
• Partner with onsite teams to ensure a seamless leasing experience.
Application & Lease Support
• Send application materials and assist with required documentation.
• Review applications for completeness, authenticity, and eligibility.
• Complete RFTA packets and submit documentation for voucher holders.
• Generate, distribute, review, and follow up on leases and related documents.
Move-In Coordination
• Set up fees, update ledgers, and support payment collection activities.
• Coordinate move-in scheduling and required documentation.
• Communicate next steps to approved applicants and support resident onboarding.
Systems & Compliance
• Maintain accurate records across leasing and property systems.
• Monitor reporting requirements and system updates.
• Support compliance, eligibility review, and fraud detection efforts.
• Identify opportunities to improve workflows and leasing efficiency.

Estimated Rate of Pay:

This position is non-exempt; the range above reflects hourly rates.
The pay range displayed for this position is determined by skills and experience required, location and job complexity*. Potential job offers may vary based on the skills, education, and experience an individual candidate holds. This range reflects base rate only, and does not include allowances, perks, commissions or bonuses applicable to this position (if any). In addition to base salary, Fairfield offers all full time associates the following, upon meeting eligibility requirements:
