The Fleet Coordinator plays a critical role in maintaining the safety, reliability, and performance of our vehicles. This position is responsible for scheduling, tracking, and coordinating proactive fleet maintenance with our outsourced service providers. This work will include taking vehicles to shops, scheduling work with service providers, and ensuring we are working to meet our goals of keeping our fleet safe, reliable and on the road. Working closely with the Fleet Team and the Operations Team, the Fleet Coordinator coordinates inspections and repairs in the field, and ensures vehicles remain service-ready with minimal disruption to team members and clients.

Responsibilities:
  • Perform regular safety and condition inspections on all fleet vehicles; ensure mechanical quality and professional appearance.
  • Respond to and resolve immediate fleet concerns to minimize road calls and maintain a high level of operational safety.
  • Track and document all 3rd party maintenance activities, including vehicle reports, parts usage, repairs, and service records.
  • Process invoices for all 3rd party services.
  • Support fleet technology upkeep, confirming proper installation and functionality of Wi-Fi units, telematics systems, and onboard tablets.
  • Complete assigned work orders/service entries accurately and in a timely manner.
  • Collaborate with fleet management and operations teams to anticipate service needs, porter movements and optimize fleet readiness.
  • Collaborate with our service providers and dealer networks to ensure our vehicles are clean, safe, DOT compliant and service ready.
  • Schedule vehicles for maintenance with our outsourced service providers as needed for repairs. Take vehicles to shops and schedule routine drop-offs and pick-ups.
  • Perform additional duties as assigned.

Requirements:
  • Must be at least 21 years of age
  • 1+ years of maintenance experience working with a variety of vehicles; experience with transit buses and motor coaches strongly preferred
  • High School Diploma or equivalent required; technical school training preferred
  • Acceptable Motor Vehicle Record
  • Current/Active DOT Medical Card
  • Current/Active Class A or B CDL
  • Must pass pre-employment DOT drug test
  • Able to communicate proficiently in English
  • Ability to be flexible in schedule to meet operational needs. This may require occasionally working outside of regularly scheduled hours
  • Must be willing to work in outside environments, which may include inclement weather
