Job description

We are seeking a highly organized and proactive Sales Administrator to support sales, business development, customer engagement, and opportunity management activities. This individual will serve as an essential operational partner to the sales organization by maintaining accurate CRM data, coordinating sales activities, tracking opportunities and follow-up actions, preparing reports, and ensuring stakeholders have the information needed to move opportunities forward.

The ideal candidate is comfortable working in a fast-paced environment, managing multiple priorities, and proactively following up to ensure important actions, deadlines, and commitments do not get overlooked.

Position ResponsibilitiesCRM and Pipeline Management
  • Serve as the primary administrator for CRM and sales-tracking platforms, including Monday.com or similar systems.
  • Maintain accurate and up-to-date customer, contact, opportunity, and pipeline information.
  • Ensure opportunities include key details such as value, sales stage, probability, next actions, expected close dates, and responsible owners.
  • Establish and maintain consistent CRM data standards and processes.
  • Monitor opportunity progression and identify missing information, overdue actions, or stalled opportunities.
  • Develop and improve CRM workflows, automations, templates, dashboards, and reporting tools.
Sales Coordination and Administrative Support
  • Coordinate and schedule sales meetings, customer calls, pipeline reviews, and business development activities.
  • Track customer meetings, follow-up activities, commitments, and action items.
  • Prepare meeting materials, agendas, presentations, and follow-up correspondence.
  • Maintain organized repositories for presentations, proposals, capability statements, customer correspondence, and other sales materials.
  • Support onboarding of new customers, contracts, and opportunities into internal systems.
Reporting and Sales Analytics
  • Prepare weekly and monthly pipeline reports, dashboards, forecasts, and executive summaries.
  • Assist leadership with tracking bookings, revenue opportunities, sales targets, and key performance indicators.
  • Support pipeline forecasting and opportunity prioritization.
  • Create reporting tools that provide visibility into pipeline value, timing, probability, customer engagement, and sales performance.
  • Identify activities or opportunities requiring management attention.
Business Development and Opportunity Tracking
  • Track customer opportunities, solicitations, RFIs, RFPs, proposal deadlines, and other business development activities.
  • Coordinate proposal schedules, internal reviews, required documentation, and submission deadlines.
  • Maintain visibility into key customer relationships, stakeholders, and business development activities.
  • Support the coordination of customer visits, conferences, trade shows, and other business development events.
  • Work with internal teams to ensure current product information, marketing collateral, and customer-facing materials are readily available.
Process Improvement and Cross-Functional Coordination
  • Partner with sales, marketing, business development, technical teams, and leadership to improve coordination and information flow.
  • Identify opportunities to improve sales processes, workflows, reporting, and CRM utilization.
  • Promote accountability and consistent use of sales systems across the organization.
  • Help ensure the sales organization remains focused on high-priority opportunities and critical next steps.
Prerequisites
  • 3+ years of experience in sales administration, sales operations, business development support, CRM administration, or a related field.
  • Hands-on experience with Monday.com or a comparable CRM or workflow management platform.
  • Demonstrated ability to maintain accurate CRM and pipeline information.
  • Strong organizational, time-management, and prioritization skills.
  • Ability to manage multiple deadlines and priorities simultaneously.
  • Strong written and verbal communication skills.
  • Excellent attention to detail and follow-through.
  • Ability to work independently and proactively identify issues requiring action.
  • Strong proficiency in Microsoft Office, including Excel, PowerPoint, Outlook, and Teams.
  • Comfortable interacting with executives, sales professionals, technical personnel, customers, and external partners.
Certifications (Preferred, but not Required)
  • Salesforce Administrator certification.
  • Monday.com certifications or advanced platform training.
  • Project Management Professional (PMP) certification.
  • Certified Associate in Project Management (CAPM) certification.
  • Other relevant CRM, sales operations, or project management certifications.
