Role Overview

The Paralegal II supports in-house counsel and the broader administrative, legal, and compliance functions by maintaining legal records, reviewing contracts and leases, monitoring litigation matters, assisting with corporate governance, and preparing correspondence and documentation related to escalated matters. This role requires strong legal and operational comprehension, sound judgment, attention to detail, and the ability to apply established checklists, policies, procedures, and business directives to day-to-day legal and compliance work.

Essential Functions

  • Support administrative, operational, and legal functions under executive leadership, including General Counsel, Contracts, Facilities, Licensing, Lobby Customer Service, and Third-Party Origination.
  • Provide administrative, organizational, and legal support to the company’s attorneys, including coordinating legal matters, maintaining organized files and records, preparing and tracking documents, and helping ensure timely follow-up on attorney-directed tasks.
  • Utilize document and file management systems to accurately maintain company contracts, legal records, litigation materials, corporate governance documents, and other centralized records for the convenience of in-house counsel and leadership.
  • Review and revise leases, contracts, and related legal documents against established checklists, policies, procedures, and business directives.
  • Monitor litigation matters in which the company is involved and provide timely, up-to-date status reports to in-house counsel and leadership.
  • Maintain records pertaining to litigation in the company’s document and file management systems and assist in-house counsel in tracking and complying with applicable deadlines.
  • Assist the General Counsel with corporate governance, corporate housekeeping, and related administrative legal matters.
  • Draft company resolutions to document actions and decisions taken by management and maintain the Minute Book in an up-to-date and accessible manner.
  • Organize company policies in both written and electronic formats to support accessibility, consistency, and recordkeeping.
  • Prepare borrower correspondence to address escalated customer advice matters and other legal or compliance-related communications.
  • Exercise flexibility, sound judgment, and ingenuity when addressing legal and compliance questions that may not have clear precedent.
  • Undertake other matters as directed by the legal and compliance teams.

Knowledge Skills and Abilities

  • Ability to read and understand legal terms, interpret their meaning, and apply them effectively to everyday work processes.
  • Working knowledge of mortgage lending systems and the overall loan process, with practical understanding of mortgage, banking, real estate, finance, or servicing operations.
  • Proficiency with Microsoft Office, internet-based research, and document/file management software.
  • Strong customer service, problem-solving, organizational, and analytical skills, including the ability to drill down into details and return reliable answers.
  • Excellent verbal and written communication skills, with sound decision-making abilities and strong professional judgment.
  • Ability to work independently with minimal supervision while demonstrating flexibility and ingenuity when handling unprecedented questions or circumstances.

Experience & Education

  • Associate degree in Legal Studies, Paralegal Studies, or a related field, or an equivalent combination of education, legal training, and professional experience.
  • 2-4 years of paralegal experience required; prior experience in mortgage, banking, real estate, finance, or loan servicing industries is strongly preferred.
  • Paralegal certificate from an accredited institution or ABA-approved program preferred.
  • Background supporting in-house legal counsel, corporate governance, contract administration, litigation management, or regulatory compliance highly preferred.

Physical Requirements

  • Prolonged periods sitting or standing at a desk and working on a computer.
  • Occasional movement inside the office to access office machinery or filing cabinets.
  • Ability to lift up to 10 pounds occasionally.
