Overview

The Gemstones Coordinator is responsible for managing the day-to-day workflow of gemstone samples, high jewelry stones and repairs, ensuring accurate tracking, documentation, and inventory control across both physical and digital systems. This role plays a critical function in maintaining data integrity within PLM, supporting sourcing and development timelines, and partnering closely with High Jewelry and Mainline Design teams to ensure timely execution of gemstone-related initiatives.

  • Manage and log incoming and outgoing gemstone samples across the product lifecycle
  • Maintain accurate records of sample location, status, and ownership
  • Coordinate distribution of samples to internal teams and external vendors
  • Track stone orders and monitor ETAs and Communicate delays, risks, and updates.
  • Support inventory control of loose stones and sample libraries; Conduct inventory audits and reconcile discrepancies.
  • Ensure proper storage, labeling, and handling of gemstones
  • Upload and maintain gemstone data including certificates in PLM
  • Link certifications accurately to stones and manage digital and physical lab certifications (GIA, IGI, etc.)
  • Maintain organized documentation and compliance records
  • Create and manage Purchase Orders (POs) and Sales Orders (SOs)
  • Coordinate with vendors and internal teams on order fulfillment
  • Track orders from placement through delivery and intake
  • Create and assign individual gemstone SKUs in PLM
  • Support product development with accurate stone specifications
  • Partner with High Jewelry and Mainline Design teams
  • Collaborate cross-functionally to support launches and special projects

Qualifications

  • Minimum of two years of hands-on experience in a similar position.
  • Minimum of two years of hands-on experience with inventory control.
  • Knowledge of jewelry construction, gemstones, diamonds, silver & gold required.
  • Strong communication skills.
  • Strong attention to detail is required.
  • Proficient in Microsoft Office computer skills (specifically Word, Excel and Outlook)
  • Ability to work independently and in a group setting.
  • Experience using a microscope for jewelry inspection a plus.
  • ExperiencewithMonday. Com and PLM tracking system a plus.

Education:

College degree required, GIA certification / experience preferred.

New York, NY.

Estimated Salary:65k - 80k
