Job description

Job Title: Fabrication Oversight Administrative Coordinator
Type: Long-term Contract
Work Model: Remote - offsite
Responsibilities
  • Review reports prepared by the Fabrication Oversight team (e.g., Fabrication Oversight reports, Supplier Capability and Capacity reports) to ensure clarity, conciseness, and consistency.
  • Format reports using word processing and related tools to ensure a professional, technically appropriate presentation aligned with Natrium standards.
  • Enter approved reports into the appropriate Natrium document repository, ensuring proper naming, metadata, and routing as required.
  • Assist with tracking action items and follow-ups identified in oversight, surveillance, and assessment reports, including status updates and reminders.
  • Serve as a central administrative point of contact for all oversight and assessment reports, helping to coordinate information flow within the team and to other stakeholders.
  • Provide general administrative support, including data entry, document preparation, filing, and records management in accordance with internal requirements.
  • Support cross-departmental communication and information sharing.
  • Assist with ad hoc administrative and coordination tasks as assigned.

Requirements
  • Minimum of 3 years of experience in business, communications, or business administration.
  • Experience must include Administrative Support and Project Coordination responsibilities.
  • Highly organized and detail-oriented, with a demonstrated high degree of accuracy.
  • Proven ability to work under tight deadlines, manage multiple priorities, and self-prioritize workload.
  • Adaptable and comfortable operating in a fast-paced, dynamic environment.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint); ability to quickly learn additional software-based tools.
  • Strong technical writing, editing, and communication skills, with the ability to improve clarity and professionalism of technical documents.
  • Strong understanding of the sensitive nature of working with controlled information; exercises sound judgment, problem-solving ability, and maintains the highest levels of confidentiality and integrity.
  • Demonstrated ability to regularly and consistently report status and track deliverables to the manager.
  • Professional, positive, and collaborative demeanor; able to interact effectively with all levels of the organization.
  • Excellent written communication and interpersonal skills, with a service-oriented mindset.
  • Team player who can assess when to act autonomously and when to coordinate with others or seek leadership input.
