Job description

Position Summary: This position will provide routine clerical and secretarial support to Program Department ministries such as Program Secretary, Women's and Men's Ministries. This position also performs Program Specialist duties which include, but not limited to, overseeing Women's Auxiliary, Community Care, Older Adult ministries, assisting in Women's Ministries divisional visits and program, and holding oversight into Divisional VA operations. Position is expected to comply with and meet The Salvation Army, Federal, State and Local policies, and standards.

Essential Responsibilities:

  • Coordinate Program Department activities.
  • Maintain Program Department calendar.
  • Perform clerical support functions, including collecting, sorting, prioritizing, and distributing mail.
  • Collect and update divisional reports.
  • Maintain Divisional Calendar and send out change notifications to Corps and DHQ Departments
  • Assist with events and projects by preparing forms, mailing, sending and receiving registrations and confirmations, running errands, assisting with volunteers, setting up rooms etc.
  • Coordinate and prepare forms, registrations, surveys for Divisional events and programs.
  • Provide creative assistance in preparing posters, programs and other items for divisional program ministry events.
  • Attend residential camps, which may require overnight stays, as directed, including Women's Camp, Men's Camp and Senior Camp.
  • Provide leadership and assist in planning and implementing Senior Camp.
  • Provide clerical support in planning and housing campers for Women's Camp, Men's Camp and Senior Camp as well as Divisional events at Echo Grove Camp.
  • Plan and attend Women's Auxiliary meetings, events and outing, to include set up and tear down.
  • Assist with disseminating information to the corps regarding all program ministries.
  • Inventory and order office supplies for program department.
  • Provide resources to the Division for Community Care, Older Adult ministries, Men's ministries, gather and submit reports as needed.
  • Oversee Veteran's Affairs information and accreditation Division-wide, as needed.
  • Assist with annual orientation for new officers to DHQ.
  • Assist with Women's ministries reviews throughout the Division and assist with attending Women's ministries events when needed.
  • Perform other duties as assigned

Qualifications:

Education/Experience:

  • Two years of college, or any equivalent combination of training and experience which provides the required knowledge, skills, and abilities.
  • One year of related work experience.

Skills, Knowledge & Abilities:

  • Become familiar with Salvation Army computer program systems such as CMS and TSAMM.
  • Assist in holiday decorating at DHQ.
  • Obtain full understanding of DHQ phone system.
  • Maintain positive work atmosphere by behaving and communicating in a manner that fosters good relationships with officers, co-workers, and supervisors. This includes but is not limited to such actions as: resolution of conflicts in a professional manner, courteous treatment to staff/visitors and or clients, respect of other's property and persons, professional and appropriate communication to and about officers, co-workers and supervisors.

Computer Skills:

  • Proficient in Microsoft Office 365
  • Working knowledge of TEAMS and SharePoint
  • Willingness to learn new software as needed
  • Maintain Divisional Program Facebook page, along with Women's Ministries and Men's Ministries events, promotions and communication through social media platforms.

Certificates and Licenses:

  • Complete Safe From Harm training and keep current as
  • Must have and maintain a current valid driver's license and pass the Salvation Army Motor Vehicle Record check (MVR)
