Description

This position supports the work of the Y, a leading nonprofit committed to strengthening community through youth development, healthy living and social responsibility. The Membership Coordinator drives membership growth, engagement, and retention through relationship building, lead management, community outreach, and strategic partnerships. The Membership Coordinator oversees daily membership operations, supervises front desk staff, administers scholarship and collections processes, and ensures efficient, member-focused service. This position is frequently responsible for first response duties including quickly attending to reported incidents, assessing the appropriate protocol and facilitating or escalating the appropriate response procedures. Schedule includes every other weekend.

Requirements

ESSENTIAL FUNCTIONS:

1. Lead membership growth and engagement by implementing strategies to effectively prospect, retain, and engage members while fostering a welcoming, member-centered culture focused on delivering exceptional member experience and building long-term relationships. 

2. Provide guidance and supervision for front desk staff and volunteers by recruiting, hiring, training, scheduling, coaching, evaluating performance, and maintaining accountability to achieve departmental goals. 

3. Oversee daily membership operations by ensuring efficient front desk procedures, accurate member check-in, membership processing, program registration, and consistent use of Daxko and other membership systems. 

4. Promote YMCA programs and services by engaging prospective and current members, managing membership leads, supporting marketing initiatives, and collaborating with program staff to maximize participation and enrollment. 

5. Representing the YMCA in the community by coordinating membership events, developing community partnerships, and participating in outreach activities that increase awareness and membership. 

6. Administer membership support functions, including scholarship applications, collections processes, facility rentals, membership agreements, and retail inventory for YMCA merchandise. 

7. Maintain operational excellence by monitoring front desk operations, communicating maintenance and operational issues, ensuring appropriate staffing levels, and documenting staff concerns and operational updates. 

8. Ensure compliance with YMCA policies and risk management standards by enforcing procedures, dress code expectations, emergency protocols, and maintaining current knowledge of organizational policies and practices. 

9. Participate in leadership and organizational meetings and complete other duties as assigned to support branch operations. 10. Model exceptional customer service by interacting professionally, courteously, and respectfully with members, guests, volunteers, and staff at all times. 



QUALIFICATIONS:

1. A minimum of two years of experience in membership services, customer service, hospitality, recreation, retail, or a related field required.

2. Previous supervisory or team leadership experience strongly preferred. 

3. Must be at least 18 years of age.

4. Experience with membership management software (Daxko preferred) or similar customer relationship management (CRM) systems. Microsoft Proficiency required.

5. Demonstrated ability to deliver exceptional customer service and build positive relationships with members, staff, volunteers, and community partners. 

6. Strong leadership, coaching, and team development skills. 

7. Excellent verbal and written communication skills. 

8. Strong organizational and time management skills with the ability to prioritize multiple responsibilities in a fast-paced environment. 

9. Ability to analyze problems, exercise sound judgment, and make appropriate decisions. 

10. Ability to learn new technology and maintain accurate records. 

11. Basic understanding of budgeting, cash handling, collections, inventory control, and financial accountability. 

12. Ability to maintain confidentiality and exercise professionalism in all interactions. 

13. Commitment to the YMCA's mission, values, and culture of inclusion. 

14. CPR, First Aid, AED, and Bloodborne Pathogens certifications (or ability to obtain within 60 days of hire). 

15. Completion of all required YMCA trainings within established timeframes. 

16. Successful completion of a background check in accordance with YMCA policies. 

17. Valid driver's license and reliable transportation preferred for community outreach and events.
