POSITION SUMMARY:
Under the general direction of the Director, this position is responsible for providing administrative support to Director and department staff. Position will assist Director with coordination of department duties, Tribal Newspaper, media relations, digital media, etc.
ESSENTIAL DUTIES AND RESPONSIBILITIES
  1. Under the guidance and direction of the Director, provides administrative and technical assistance to the Communications Department.
  2. Answer and route a high volume of incoming calls and messages using proper etiquette. Follows up as necessary.
  3. Provide timely information and direction to tribal membership and clients regarding requested and available services.
  4. Responsible for making and distributing photocopies and facsimiles.
  5. Receive and distribute incoming mail. Properly and accurately logs all incoming/outgoing mail. Logs and tracks forms submitted to other departments for signature. Collects and logs incoming correspondence.
  6. Take a lead on scheduling meetings. Prepares agendas, minutes, and packages for dissemination to the attendees. Prepares agendas and takes minutes for meetings.
  7. Compose highly confidential correspondence and other forms of communication as requested. Edits and reviews materials prepared by others when directed by the Director.
  8. Prepare and manage Requests For Proposals, bids, etc. Schedule and coordinate vendor services (such as designers, photographers, etc.)
  9. Manage communications director's calendar, necessary travel, etc.
  10. Prepare/collect department time cards, invoices, Action Request Forms, etc.
  11. Manage office supplies, etc.
  12. Coordinate and edit ads, directory listings and similar content for Tribal Newspaper
  13. Coordinate and edit online, print and email event calendars

  1. Research and respond to external and internal requests for information from general-inquiry email, telephone and other channels. Answer questions, route or coordinate responses.
  2. Support news media relations by tracking media coverage, maintaining media log and media lists, entering Tribal events into news media calendars, etc.
  3. Assist with digital media as needed, such as by creating posts and monitoring social media feeds
  4. Gather photographs, answers or other information as needed
  5. Distribute press releases, Tribal Announcements, Tribal News, and similar publications; coordinate surveys; support Membership meetings and other outreach events
  6. Contribute to special projects such as by coordinating and staffing outreach events, coordinating special mailings, coordinating and tracking award applications and nominations, etc.
  7. Perform other duties as assigned.

SUPERVISORY RESPONSIBILITIES
This position has no supervisory responsibilities.
QUALIFICATIONS AND REQUIREMENTS

Education and Experience
HS Diploma/GED required. Associate's Degree in a related field is preferred, and two years of experience in administrative support to a senior level executive; or equivalent combination of education and experience.
Knowledge of and work experience in Accounting functions is preferred. Intermediate to advanced skills in Microsoft Word and Excel required.
Must have experience in maintaining confidentiality of sensitive information. Must demonstrate and stay up to date on knowledge of privacy, contempt and defamation laws.
Must be able to work long hours and carry an unpredictable schedule.
Language Skills
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of the organization. The majority of contacts are within the Tribal community although some may be external to the Tribe.
Mathematical Skills
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Reasoning Ability
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Demonstrates good judgment and acts responsibly to avoid endangering anyone working in, or working with, the department.
Licenses, Certificates
Must have and maintain a valid and unrestricted Washington State driver's license and proof of insurance. Driver's License restrictions must not prevent the employee from complying with the Tribe's Vehicle Use Policy or driving a GSA vehicle.
Other Requirements
Must have reliable transportation.
Must demonstrate strong communication skills, both written and oral. Must demonstrate an eye for detail.
Must be able to multi-task and set priorities.
