To function as primary client liaison and team leader for assigned programs and events. Manages the overall coordination and execution of an entire program/event from an operational perspective. Responsible for coordination of all program planning while providing unparalleled levels of customer service. Primary responsibility for client budget management in addition to forecasting all budget variations.

What You'll Be Doing

  • Serving as the primary point of contact to select meetings and trusted partner for assigned clients, leading programs and events from initial planning through onsite execution.

  • Partnering and collaborating with Corporate Meeting Planner on National Sales Meetings and National Sales Incentive program, to include project management, including timelines, document creation and retention, logistics, deliverables, and operational details to ensure seamless execution.

  • Managing event budgets and financials, including forecasting, tracking expenses, negotiating supplier contracts, and ensuring programs meet profitability goals and reconciliation.

  • Leading and directing cross-functional project teams by clearly communicating client goals, expectations, and business requirements.

  • Sourcing, negotiating, and managing suppliers such as hotels, audio-visual partners, DMCs, air, and other third-party vendors.

  • Conducting site inspections and collaborating with clients and internal stakeholders to align on program strategy and execution.

  • Maintaining proactive, transparent communication with clients and internal partners throughout the lifecycle of each program.

  • Overseeing onsite event delivery, anticipating challenges, resolving issues in real time, and ensuring a high-touch client experience.

  • Managing VIP logistics and special projects as needed.

  • Supporting proposal development, renewals, and ongoing client relationships by providing operational expertise and strategic input.

What You'll Bring

  • A bachelor's degree or equivalent practical experience.

  • At least 3+ years of experience in meeting or event planning, incentive programs, association or corporate events, or related hotel, convention, or sales roles (international destination experience is a plus).

  • Strong working knowledge of end-to-end program and event management, including budget ownership and financial forecasting.

  • Proven ability to build, manage, and maintain strong client relationships based on trust and service excellence.

  • Clear, professional communication skills, both written and verbal, with confidence presenting to clients and stakeholders.

  • The ability to manage multiple projects at once while staying organized, flexible, and detail oriented.

  • Solid technical skills, including proficiency with Microsoft Office, CVENT, and the ability to quickly learn new systems and tools.

Things You Should Know

  • 50-75% travel is required. Must have updated passport for travel.

  • This is a hybrid role requiring candidates to be based in either Cincinnati, OH or Santa Clara, CA. consistent onsite attendance will be required.
