Summary

SUMMARY

The Medical Records Technician provides non-personal, administrative, and technical support to the Aerospace and Operational Medicine Division at Headquarters Air Force Reserve Command (HQ AFRC). The primary focus of this role is the maintenance, review, and accurate data entry of aeromedical records for approximately 70,000 reservists. This position ensures that medical documentation is complete, accurately coded, and properly loaded into DoD systems to support medical readiness and the waiver adjudication process.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

  • Case Documentation Review: Accomplish administrative evaluations by receiving, tracking, and reviewing pertinent medical data (medical history, doctor's findings) to ensure completeness for government medical provider adjudication.
  • Technician-Level Data Entry: Complete "technician level inputs" for both front and back-end management of medical cases across specialized systems of record.
  • System Management: Update and maintain electronic systems including the Aeromedical Waiver Management Information System (AIMWTS), Electronic Case Tracking (ECT), Physical Exam Processing Program (PEPP), MEDXS, and ASIMS.
  • Medical Coding: Apply knowledge of International Classification of Diseases (ICD-10) coding and medical terminology to accurately document case files.
  • Case Tracking: Monitor cases through the entire review process, keeping Reserve Medical Units (RMUs) informed of status changes and providing written instructions on the management of incomplete files.
  • Disposition and Reporting: Collect and compile data for final case disposition and execute "mail-out" actions to members. Prepare recurring reports on processing metrics and data quality.
  • Administrative Support: Utilize automated programs to produce required databases, spreadsheets, and graphics in support of division meetings and training.

SKILLS AND QUALIFICATIONS

  • Medical Literacy: Knowledge of anatomy, physiology, and disorders of body systems.
  • Technical Proficiency: High level of proficiency with PDF software and the Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Data Processing: Proficient typing skills utilizing QWERTY and 9-key pads for high-volume data entry.
  • Communication: Excellent oral and written communication skills to effectively translate complex instructions for service members and unit personnel.

EDUCATION & EXPERIENCE

  • Education: Associate or Bachelor's degree in health information management, health sciences, medical administration, healthcare administration, or a related field.
  • Domain Experience: Demonstrated experience processing and managing physical exams and medical standards, preferably in a military medical environment (e.g., USAF PES) or equivalent civilian occupational health setting.

SUPERVISORY RESPONSIBILITY

This position has no supervisory responsibilities.

WORK ENVIRONMENT

Work is performed in unclassified work areas within Government facilities.

PHYSICAL DEMANDS

Office-based activities including answering telephones, greeting visitors, and prolonged use of computer terminals.

ROLE and LOCATION SPECIFIC FUNCTIONS

The place of performance is Robins Air Force Base (RAFB), GA. Personnel must display identification badges and name plaques at all times in Government workspaces.

POSITION TYPE/EXPECTED HOURS OF WORK

Full-time position. Normal operational hours are 0800 to 1600 (EST), Monday through Friday, with mandatory availability during core hours of 0900 to 1500.

TRAVEL REQUIREMENTS Travel is not required.

CLEARANCE/LICENSE REQUIREMENTS

  • Security Clearance: Must possess or obtain an active favorable Tier 1 (T1) - National Agency Check with Inquiries (NACI).
  • Training: Mandatory completion of DoD Cyber Awareness, HIPAA, and Privacy Act training.
  • Non-Disclosure: Must sign a Non-Disclosure Agreement (NDA) due to access to sensitive medical data.
