Salary: $18.00 hour

The Medical Records Specialist is responsible for maintaining, organizing, and protecting patient health information in both electronic and paper formats. This position ensures all medical records are accurate, complete, confidential, and compliant with HIPAA and organizational policies. The Medical Records Specialist supports patient care by retrieving, filing, and releasing records in a timely and professional manner.


Key Responsibilities

  • Maintain and update patient records in the electronic medical record (EMR) system and/or paper charts.
  • Ensure accuracy, completeness, and confidentiality of all medical record documentation.
  • Retrieve and deliver patient charts and documentation as requested by clinical and administrative staff.
  • Process requests for medical records in accordance with HIPAA and company policy.
  • Scan, upload, and index medical documents into patient charts.
  • Verify that all required documentation is properly signed, dated, and filed.
  • Handle incoming and outgoing record requests from hospitals, insurance companies, and patients.
  • Assist with audits, quality checks, and compliance reporting as needed.
  • Maintain logs and tracking systems for medical record requests.
  • Provide excellent customer service to internal and external stakeholders.
  • Support the front office or administrative team with other duties as assigned.

Qualifications

  • High school diploma or equivalent required; post-secondary coursework in healthcare administration preferred.
  • Minimum of 12 years of experience in a healthcare setting, preferably in medical records or patient services.
  • Familiarity with HIPAA regulations and medical terminology.
