Job description

Job SummaryPPI Quality & Engineering is seeking a Receptionist / Office Assistant dedicated to handling employee and guest facing duties as well as providing administrative support in a dynamic environment. The ideal candidate has excellent communication and multitasking skills, a positive attitude, and a strong work ethic.About the role

Employment Type: Full-Time Employee

Schedule: Monday-Friday, In Office | 8:00 AM - 4:30 PM or 7:30 AM - 4:00 PM

Hourly Rate: $18-$20 per hour

Roles & Responsibilities

  • Greet and welcome guests as soon as they arrive at the office
  • Screen and forward incoming phone calls
  • Ensure reception and conference room areas are safe, tidy, and presentable
  • Provide basic and accurate information in-person and via phone/email
  • Receive, sort and distribute daily mail/deliveries
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
  • Restock and maintain organized kitchen/break area
  • Order office supplies and keep inventory inย stockย 
  • Create and maintain office documents for general use (directory, floor plan, check log, etc.)
  • Organize, setup, and tear down luncheons for meetings and small events when needed
  • Manage shipping and basic logistics (FedEx, USPS, Courier, etc.)
  • Perform expense reporting for executive leadership team on a monthly basis
  • Perform document verification processes for submittalย 
  • Reconcile credit card statements and receipts, investigating and resolving charge discrepancies.
  • Other administrative duties including but not limited to, data entry, filing, photocopying, and faxing
  • Any additional support duties as assigned by the Office Manager

Required Education / Experience

  • High School Diploma
  • Proven work experience as a Receptionist, Front Office Representative, or a similar role
  • Proficiency in MS Excel spreadsheet and Adobe Acrobat
  • Experience reviewing invoices for accuracy, completeness, and proper documentation
  • Experience preparing and processing monthly expense reports
  • Experience reviewing and verifying documents for accuracy and completeness before submission.
  • Experience reconciling corporate credit card statementsย 
  • Hands-on experience with office equipment (e.g. fax machines and printers)
  • Professional attitude and appearance with strong interpersonal skills
  • Strong written and verbal communication skills
  • Excellent organizational and time-management skills
  • Proven experience taking initiative in a dynamic and challenging work environment
  • Demonstrated ability to maintain integrity and confidentiality
