Job description

Carolina Total Wellness is seeking a dedicated, full-time Medical Administrative Assistant to join our team. Our practice specializes in Functional Medicine, which takes a root-cause, holistic approach to healthcare.

This position is Monday - Thursday from 8:20 AM to 5:00 PM. No weekends are required. Full-time employees receive health benefits and paid time off.

We are looking for an experienced Medical Administrative Assistant who is positive, friendly, dependable, and detail-oriented. The ideal candidate is a motivated team player with a strong work ethic and a proactive mindset. The right person will communicate with professionalism, warmth, tact, and compassion while managing a wide range of front office responsibilities in a busy medical setting.

Administrative Responsibilities

  • Complete daily tasks independently and collaboratively as needed
  • Perform opening and closing office procedures
  • Schedule appointments and make appointment changes as needed
  • Understand and follow scheduling policies, including accurate documentation in patient charts
  • Maintain patient charts by obtaining, recording, and updating personal and financial information
  • Perform patient check-in and check-out for both in-office and virtual appointments
  • Answer phones and assist both existing and prospective patients
  • Protect patient health information by maintaining HIPAA compliance and safeguarding confidential medical, personal, and financial information
  • Send and receive medical records by fax and ensure accurate organization within our EHR
  • Download lab results and upload them accurately to patient charts
  • Help maintain full provider schedules and regularly monitor the patient waitlist
  • Communicate lab instructions to patients clearly and efficiently
  • Maintain a clean, organized, and welcoming front office environment
  • Assist with additional office support tasks, including restocking supplements, unpacking boxes, removing trash and cardboard, maintaining the patient coffee bar, restocking restroom paper products, shredding documents, preparing supplement bags, and filling online supplement orders
  • Support office operations by following established policies and procedures and reporting needed updates or changes
