Description
HLB Lighting Design is seeking a friendly, organized, and proactive Office Assistant to support our Boston studio. This part-time position will play an essential role in creating a welcoming and well-functioning workplace for employees, clients, and visitors.
The ideal candidate is service-oriented, enjoys working with people, and takes pride in maintaining an organized and engaging office environment. This is an on-site role based in our Boston office and requires attendance three days per week: Tuesday, Wednesday, and Thursday.
Responsibilities
  • Serve as a welcoming ambassador for HLB Lighting Design and help create a positive office experience for employees, clients, and visitors.
  • Support the day-to-day operations of the Boston studio, helping maintain an organized, efficient, and engaging workplace.
  • Receive, sort, and distribute incoming mail and packages and coordinate outgoing shipments.
  • Order, stock, and maintain office supplies, snacks, and workplace resources.
  • Coordinate office lunches, vendor presentations, team-building activities, and office celebrations.
  • Support local marketing initiatives, including event RSVPs, holiday gift preparation, shipping, and other studio-related activities.
  • Coordinate studio headshot photography and other marketing-related logistics as needed.
  • Coordinate with IT and external vendors to monitor and maintain office equipment.
  • Assist with onboarding activities by preparing workstations and coordinating new hire office setup.
  • Track and manage shared studio equipment, including iPads, light meters, and other office assets.
  • Support the organization of the mock-up room and the tracking of lighting samples and materials.
  • Coordinate office maintenance requests and communications with building management and service providers.
  • Help maintain a clean, welcoming, and professional office environment.
  • Assist with other office-related projects as needed.

Requirements
Education & Experience
  • High School Diploma required.
  • Associate's Degree or relevant post-secondary education preferred.
  • 1-3 years of experience in office administration, office coordination, hospitality, customer service, or a related role preferred.
