Position: Back Office Administrative Assistant
Location: Rincon, GA
Job Type: Full-time, Nonexempt, 100% Onsite
Pay Rate: $25.00 per hour
Hours: M-F, 7:00 AM-3:30 PM Eastern Time
Position Summary
Aertssen is seeking a highly organized and detail-oriented Back Office Administrative Assistant to join our growing team. The Back Office Administrative Assistant handles shipments, paperwork, and driver interactions. This position is responsible for updating systems, scheduling appointments, and assisting with invoicing. This role also ensures compliance with company policies and keeps operations running smoothly.
Responsibilities
Logistics Administration
  • Greets drivers and ensures they have the correct paperwork.
  • Books shipment appointments at our warehouses.
  • Helps arrange and follow up on truck transports.
  • Logs in- and outbound shipments in the system and updates the planning.
Operational Administration
  • Updates machine status and other relevant data in the Warehouse Management System (WMS).
  • Creates and logs work orders in the WMS.
Scheduling and Coordination
  • Coordinates with Client/Account Coordinators on the urgency of work orders.
  • Provides input to operations to enable accurate planning.
  • Serves as the primary point of contact for questions on work orders and machine status.
All of this is carried out in accordance with our company's quality, environmental, and health policies.
Qualifications
  • At least 2 years of recent experience in an administrative or logistics role is required.
  • Strong written and verbal communication skills.
  • Excellent organizational and time management abilities.
  • Computer literacy with proficiency in Microsoft 365 (specifically Outlook, Word, Excel).
  • Previous experience working within a Warehouse Management System (WMS).
  • Attention to detail is required to ensure accurate data entry in the WMS.
  • A current, valid driver's license, with an insurable driving record, is required.
