Wichita, KS | Full-Time | In-Office

Be the welcoming first voice and trusted first point of contact for clients who need guidance during some of the most difficult moments of their lives.

About the Role

Prochaska Law is seeking a warm, dependable, and highly organized Receptionist to support clients, potential new clients, attorneys, and legal team members in a busy personal injury and medical malpractice law firm.

This is a people-centered role for someone who enjoys helping others, staying organized, and keeping the day moving. The position includes answering phones, greeting clients and guests, assisting with potential new client intake, supporting document and medical record tasks, helping with mailings and errands, and providing administrative support to the legal team.

Because many callers are injured, overwhelmed, or unsure what to do next, the right person brings patience, professionalism, and a calm, reassuring presence. Clear communication, careful information gathering, and genuine kindness matter here.

This is a great fit for someone who likes variety, enjoys being part of a close office team, and is comfortable pitching in wherever needed. The office also has a friendly office dog, so comfort around dogs is important.

What You’ll Be Doing

  • Create a positive first impression for clients, potential new clients, guests, vendors, and callers
  • Answer phones, check voicemails, route messages, assist with new case calls, and contact web submissions from potential clients
  • Gather preliminary intake information, enter new case calls into the firm’s case management system, and help potential new clients complete paperwork
  • Greet clients and guests, help them feel comfortable, and assist with conference room preparation for client meetings, depositions, mediations, and other in-office meetings
  • Support the legal team with mail handling, scanning, copying, filing, ordering medical records and bills, organizing documents, assisting with file closing, and preparing materials for experts
  • Assist with outgoing mail, FedEx, UPS, courthouse runs, urgent deliveries, deposits, and other errands as needed
  • Help keep the front desk, client areas, and shared spaces stocked, organized, and welcoming
  • Help care for Charlie, the office dog, including taking him out during the day and assisting with occasional vet visits when needed.
  • Assist with light kitchen upkeep and occasional office needs

Requirements

What We’re Looking For

  • Prior experience as a receptionist, front desk professional, or customer service representative is preferred
  • Strong phone presence and professional communication skills
  • A warm, patient, and respectful approach with clients and potential new clients
  • Strong organization, attention to detail, and follow-through
  • Comfort using phones, scanners, copiers, and basic computer systems
  • Ability to handle confidential information with care and discretion
  • Valid driver’s license, current insurance and comfort running local errands during the workday
  • Ability to lift up to 30 pounds as needed for supplies, groceries, and office materials
  • A helpful, team-oriented attitude and willingness to support attorneys, legal assistants, clients and guests
