Position Summary:
The College of Medicine at Florida Atlantic University is seeking a Program Manager, Graduate Medical Education Training Program in Palm Beach County, FL.
The Program Manager, Graduate Medical Education Training Program, coordinates Graduate Medical Education Programs (GME) to ensure compliance with ACGME requirements and specific programs, projects, or academic support service functions. Works closely with Director(s), faculty, and staff in program planning and development of the program's academic and clinical requirements to ensure accreditation standards are achieved and maintained.
Responsible to the Designated Institutional Official, Director(s), Department Chairs, and Senior Program Coordinators (as applicable), for departmental recruitment, managerial, and financial functions and medical education curriculum coordinators; resolving problems and communicating issues of concern to appropriate higher-level authority.
This role is based at off-campus locations and may require travel to multiple sites throughout the day.
Summary of Responsibilities:
- Coordinate the day-to-day operations of complex, multi-site, community-based programs, reporting to the Director.
- Execute Workday business processes.
- Plan, facilitate. and manage orientation activities for selected training candidates, including employment onboarding, licensing, credentialing, badging, information technology access, and coordination of participating-site credentialing and orientation.
- Coordinate the recruitment and selection process, including application collection and distribution, venue reservation, faculty assignments, candidate appointments, virtual platform and technological device management, marketing and informational content development, and oversee the day-of recruitment itinerary (virtual and in-person), as applicable.
- Deliver and collect onboarding requirements and credentialing processes for trainees, which include collecting documents, creating positions, disseminating trainee demographics and contact information to key program contacts at participating hospitals and clinical sites.
- Maintain program block rotation schedules in collaboration with the program director(s), faculty, and chief residents.
- Manage electronic information systems related to collecting and storing program data, generating reports and documentation to include ACGME Web ADS, American Board of Medical Specialty tracking, NRMP, and GME Track/National GME Census and program website(s), ensuring accurate program and trainee data is reflected.
- Manage evaluations for the program, faculty, and trainees. Track and alert the director to any evaluations of concern.
- Manage (extra-)curricular activities such as weekly/monthly didactics, well-being initiatives, (semi-)annual retreats, special seminars, and programming.
- Manage the creation, allocations, expense tracking, and reconciliation of a large budget.
- Maintain accreditation data for Programs, including recruitment of faculty, staff, and trainees.
- Assist the Director(s) in responding to and resolving trainee issues, including disciplinary due process facilitation, record collection, meeting scheduling, and documentation of any training and program disciplinary decisions to accrediting and licensing agencies.
- Plan, facilitate, and manage the matriculation and off-boarding activities for departing trainees, including the collection of devices, alumni information collection, and records completion for the program and participating sites.
- Maintain confidential files/records of current and completed trainees in accordance with current regulatory guidelines.
- Assist in the preparation of letters of verification for alumni.
- Execute data management and reporting tasks as directed by the GME Director and DIO, as well as various other agencies, organizations, and groups.
- Attend GMEC and GME coordinator meetings as well as national meetings of GME administrators.
- Proctor training examinations (as applicable).
- Perform other job-related duties as assigned.

Minimum Qualifications:
A bachelor's degree in an appropriate area of specialization and 1 year of appropriate experience or a high school diploma and 5 years of appropriate professional/specialized experience required.
Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.
Valid Florida Driver's License required.
Preferred Qualifications:
Experience in a higher education institution, medical school, or hospital.
Ability to work collaboratively with all levels of faculty, staff, and students.
Exceptional verbal and written communication skills are essential for success in this position.
Proficiency in Microsoft Office programs such as Word, Outlook, PowerPoint and Excel.
Exceptional customer service, organizational and time management skills.
Salary:
$66,560 - $76,000 Annually.
