About J and R Property Services

J and R Property Services is seeking a reliable and detail-oriented Administrative Assistant to support daily operations in a fast-paced property services environment. This role blends administrative coordination, social media management, and basic accounting responsibilities (accounts payable and receivable), along with handling incoming communications. The ideal candidate is organized, responsive, and comfortable working across both office and digital platforms.

Key Responsibilities

Administrative & Communication Support:

  • Assist with answering and directing incoming office phone calls professionally.
  • Assist with scheduling appointments and coordinating service calls as needed.
  • Maintain organized records of customer interactions, work orders, and files.

Social Media Management:

  • Create and schedule posts showcasing completed projects, seasonal services, and promotions.
  • Create and schedule posts showcasing open and upcoming job opportunities.
  • Monitor messages and comments by responding or escalating as appropriate.
  • Maintain consistent branding and voice across all social media platforms.
  • Track engagement and suggest ideas to increase local visibility and customer engagement.

Accounts Payable (AP):

  • Enter and process invoices accurately.
  • Track due dates and assist with timely payments.
  • Maintain organized vendor records and resolve billing discrepancies.

Accounts Receivable (AR):

  • Generate and send customer invoices for completed services.
  • Record incoming payments and follow up on outstanding balances.
  • Communicate professionally with customers regarding billing questions.
Requirements:
  • Associateโ€™s degree in Accounting or Business Management or relevant experience.
  • 1โ€“3 years of administrative, bookkeeping, or office support experience.
  • Familiarity with accounting software (e.g., QuickBooks) preferred.
  • Experience managing or assisting with multiple business social media accounts.
  • Strong communication and customer service skills.
  • Excellent attention to detail and organizational abilities.

Preferred Skills
