Mederi Center is an integrative medicine clinic dedicated to optimizing health, promoting longevity, and improving quality of life for patients facing complex and chronic conditions, including cancer. Our team delivers compassionate, patient-centered care within a highly collaborative clinical environment.

The Mederi Center Apothecary operates as a full-service compounding botanical apothecary serving both our patients and licensed practitioners.

Position Overview

We are seeking a capable, motivated Clinical Support Manager (CSM) to oversee daily clinic operations and provide consistent, on-site leadership for our support team.

This is a part-time, hands-on role (24 hours/week) responsible for ensuring smooth day-to-day operations, maintaining team accountability, and supporting an exceptional patient experience in a small, mission-driven clinic.

The CSM reports to the Practice Relations Manager (PRM), who oversees practitioners and overall operations. In this role, the CSM serves as the primary on-site operational lead, working in close partnership with the PRM to ensure continuity of standards, culture, and execution.

The ideal candidate brings strong leadership presence, emotional intelligence, and professionalism, with the ability to operate independently while collaborating on key decisions. This role requires a proactive, adaptable manager who can lead a small team, step into multiple functions as needed, and adapt as responsibilities evolve.

The CSM will be cross-trained across all operational areas—including front desk, client liaison services, and order fulfillment—and will provide hands-on support wherever needed to maintain seamless operations.

Team Leadership Responsibilities

The Clinical Support Manager directly supervises and supports the Client Liaisons, Front Desk Scheduling Coordinator, and Fulfillment team, and partners closely with the Practice Relations Manager (PRM) to ensure alignment across operations, standards, and execution.

Key Responsibilities

Leadership & Team Management

  • Serve as the primary on-site operational lead for clinic support functions
  • Supervise, coach, and develop a team of approximately four staff and department leads
  • Participate in hiring, onboarding, and staff training processes
  • Ensure cross-training across departments to support and maintain operational continuity
  • Conduct performance reviews in coordination with the PRM
  • Address employee relations matters and escalate when appropriate
  • Foster a culture of accountability, professionalism, and collaboration

Clinic Operations

  • Oversee daily clinic operations, workflow, and patient experience
  • Step into operational roles as needed to maintain seamless service
  • Identify inefficiencies and implement practical process improvements
  • Support implementation of new systems, policies, and workflow enhancements
  • Ensure adherence to SOPs and regulatory requirements, including HIPAA
  • Make real-time decisions to resolve operational challenges
  • Coordinate across departments to ensure clear communication and execution
  • Guide the team through operational changes with clarity and consistency

Fulfillment & Inventory Operations

  • Collaborate with Fulfillment department leads to optimize operations and inventory workflows
  • Oversee inventory management, including development of ordering strategies and workflows
  • Regularly review costing and pricing strategies to ensure margin targets are met and optimized
  • Maintain quality standards, consistency, and process accountability across fulfillment operations

Administrative & Operational Support

  • Manage staff scheduling, PTO tracking, and daily team coordination
  • Support internal communication and follow-through on operational initiatives
  • Maintain documentation, workflows, and operational records
  • Assist with reporting, task tracking, and implementation of process improvements

Required Experience & Skills

  • 3–5+ years of medical clinic management experience with direct staff supervision
  • Proven ability to manage multiple functions or departments
  • Strong leadership, decision-making, and problem-solving skills
  • Experience coaching staff, conducting performance reviews, and handling employee relations
  • Highly organized, detail-oriented, and able to maintain consistency in a dynamic setting
  • Ability to operate independently in a fast-paced environment
  • Excellent organizational and communication skills
  • Proficiency with EHR/EMR systems
  • Strong analytical skills and comfort working with operational data, metrics, and reporting
  • Intermediate computer skills and proficiency in MS Word, Excel, and Outlook
  • Demonstrated ability to identify inefficiencies and implement improvements

Preferred Qualifications

  • Experience with CharmHealth EHR and medical billing
  • Background in integrative, functional, or holistic medicine
  • Experience with inventory, fulfillment, or product-based operations
