Summary:
This dual-role position combines direct patient care responsibilities with surgery and procedure scheduling coordination. The Medical Assistant works under the direction of licensed medical provider to support clinical operations, while also coordinating pulmonary procedures, surgeries, diagnostic testing, referrals, and related patient communications. The ideal candidate is organized, detail-oriented, patient-focused, and able to effectively manage multiple priorities in a fast-paced specialty clinic environment.
Essential Functions:
Medical Assistant Responsibilities
- Prepare and review patient charts prior to appointments.
- Room patients and obtain vital signs, medical histories, and medication reconciliation.
- Assist providers with examinations, procedures, and treatments as directed.
- Update and maintain accurate patient records in the EPIC electronic medical record (EMR).
- Manage patient telephone calls, messages, prescription refill requests, and follow-up communications.
- Support patient flow and contribute to an exceptional patient experience.
- Maintain exam room supplies and ensure equipment is functioning appropriately.
Surgery Scheduler Responsibilities
- Coordinate and schedule pulmonary procedures, surgeries, diagnostic testing, and hospital-based services.
- Communicate surgery and procedure dates, preparation instructions, and follow-up appointments to patients and families.
- Collaborate with physicians, hospitals, surgery centers, anesthesia teams, and ancillary departments to ensure timely scheduling.
- Obtain and track required authorizations, referrals, records, and pre-operative requirements.
- Manage surgery scheduling work queues and maintain accurate scheduling documentation in EPIC.
- Coordinate post-operative appointments and ensure continuity of care.
- Serve as a primary point of contact for patients regarding procedural and surgical scheduling questions.
- Monitor scheduling changes and communicate updates promptly to patients and care teams.
Minimum Requirements:
- High School Diploma or GED
- Completion of an accredited Medical Assistant program
- Current certification as a Medical Assistant from the following is preferred:
- AAMA - American Association of Medical Assistants
- CCBMA - California Certifying Board of Medical Assistants
- AMT - American Medical Technologists Certification as a Registered Medical Assistant (RMA)
- Current CPR certification
- Experience working with an EMR (Epic) preferred
- One (1) year of experience in an ambulatory care/outpatient clinic environment preferred
