The MBA Admissions Administrative Coordinator role is a full-time position in the Wharton MBA Admissions and Financial Aid office. Reporting to the Director of External Strategy and working closely with the other Administrative Coordinator, this position contributes to the overall flow of the office by providing superior systems support and customer service, in a dynamic, high-intensity environment. The role also oversees the campus visit program, from idea generation to process execution, and ongoing assessment of outcomes and survey data. Job Description

Job Responsibilities

  • Serve as the first point of contact for a large student population, greeting visitors and responding to or directing inquiries received in person, by phone, or through the department's general email inbox regarding IT systems, programs, services, and initiatives.
  • Oversee the campus visit program for prospective students from concept through execution and evaluation. Responsibilities include planning and coordinating visit logistics, managing registration and communications through platforms such as Qualtrics, CVENT, and EventsHQ, collaborating with internal partners to schedule meetings and programming, and assessing program effectiveness to inform continuous improvements. Ensure seamless coordination across systems and stakeholders to deliver a smooth and professional visitor experience.
  • Assist with various initiatives via internet-based research, data entry (into web-based systems, including Slate), and creating and modifying documents, track post event feedback to partner with the Associate Director of Event Strategy toward informing the overall recruitment strategy.
  • Coordinate and support various office projects/initiatives such as the Coffee Chat program, recruiting events, on-campus interview preparation, and student programming, and record requests.
  • Perform general office duties such as photocopying, mail pick up & distribution, UPS shipping, filing, organizing, restocking office supplies, and periodic tidying of kitchen and reception area.

Required Qualifications

  • A High School Diploma or GED is required, Bachelors is preferred and 5-7 years are required or equivalent combination of education and experience.
  • Must be flexible, prompt, reliable, and respect confidentiality.
  • Excellent interpersonal and communication skills essential; maintain exemplary customer service to ensure a high level of stakeholder satisfaction.
  • Must possess the ability to exercise good judgment, initiative, discretion, and independence in dealing with a diverse client base.
  • Strong organizational skills and the ability to manage many duties at one time.
  • Fast learner who is also a team player and comfortable working under limited supervision.
  • Strong PowerPoint, Word, and Excel experience required.
  • This role is an essential position.
