Senior Matter Mobility Specialist

The Senior Matter Mobility Specialist serves as the operational lead for the firm's Matter Mobility program, ensuring consistent execution, governance, and continuous improvement of Matter Mobility processes. This role provides day-to-day oversight on complex projects, coordinates workflow among team members, and serves as the primary subject matter expert for the movement of client information across approved repositories.

The Matter Mobility Lead is responsible for overseeing all aspects of the Matter Mobility process, ensuring imports, exports, and internal client data movements are completed accurately, securely, and in compliance with firm policies and Information Governance standards. This role serves as the operational lead for Matter Mobility initiatives, coordinating projects from planning through completion while managing priorities, assigning work, and balancing team workloads to ensure timely and high-quality service delivery. The Matter Mobility Lead provides guidance, mentorship, and technical support to Matter Mobility Specialists, acting as the primary resource for complex workflows, troubleshooting, and operational questions. The position monitors quality control efforts, develops and enhances policies and procedures, and identifies opportunities to improve efficiency, consistency, and governance across the function. Working closely with attorneys, administrative teams, General Counsel, Information Technology, Applications, and other business units, the Matter Mobility Lead facilitates the secure and compliant movement of client information and leads cross-functional projects involving repository governance, data migrations, attorney transitions, large-scale client transfers, and other strategic initiatives. Additionally, this role identifies operational risks, recommends process improvements, tracks project and performance metrics, supports staff training and onboarding efforts, and serves as the escalation point for complex Matter Mobility requests requiring advanced technical expertise and operational decision-making.

The ideal candidate will possess a high school diploma or equivalent, with an associate or bachelor's degree preferred. Candidates should typically have five or more years of experience in records management, information governance, legal operations, litigation support, document management, information technology support, or a related function within a law firm or professional services environment. Experience handling confidential client information, managing electronic records, and facilitating secure data transfers in a legal or professional services setting is strongly preferred. The successful candidate will demonstrate working knowledge of document management systems, secure file transfer platforms, Microsoft Office applications, Adobe products, file compression tools, and electronic file organization best practices. Strong organizational skills, exceptional attention to detail, and the ability to effectively manage multiple priorities while maintaining accuracy, professionalism, and confidentiality are essential for success in this role.
