About the Organization
Description
SUMMARY
At the direction of the Global Sourcing Manager, this position is responsible for coordinating special customer requests and creating and maintaining accurate item data within the ERP system. This role ensures that customer-specific needs are documented, communicated and tracked while also supporting item setup, item maintenance and data integrity.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Special Customer Requests
  • Receive, review and coordinate special customer requests, including custom items, substitutions, packaging changes, labeling needs, customer-specific requirements and other non-standard requests.
  • Work with internal teams to clarify request details, requirements, feasibility, timelines, costs and potential risks.
  • Prepare landed cost documentation for both domestic and import special requests.
  • Track requests from initial submission through completion, ensuring appropriate updates are communicated to stakeholders
  • Identify gaps, missing information or conflicts that may impact successful execution.
  • Help document assumptions, decisions, approvals and changes related to each request.

Item Integrity
  • Create and maintain item records in D365 according to company standards.
  • Ensure item information is complete, accurate and aligned across systems.
  • Review new item setup requests for completeness and accuracy.
  • Coordinate with internal teams to gather missing or updated item data.
  • Maintain item changes, discontinuations, substitutions and customer-specific item requirements in the ERP system.
  • Support data integrity by identifying and correcting inaccurate, outdated, duplicate or incomplete item records.
  • Assist with audits, reviews and clean-up projects related to item master data.
  • Ensure item setup supports downstream processes such as supply chain, finance, customer experience, and warehouse operations.
  • Work with the HTS Classification team to review potential classification codes, prepare HTS classification request documents and maintain files for potential Custom audits

General Responsibilities
  • Coordinate and schedule meetings in Outlook, including managing invitations, agendas and meeting logistics as requested.
  • Prepare, maintain and distribute Power BI reports for tracking and project visibility.
  • Support continuous improvement initiatives by reviewing, updating and developing Standard Operating Procedures (SOPs) to improve process consistency and efficiency.

Position Requirements
EDUCATION and/or EXPERIENCE
  • College degree in related field preferred.
  • Proficient in the use of Microsoft Office - Excel, Word, PowerPoint, Outlook and Teams.
  • Two years successful administrative experience in supply chain, customer service, or finance.
  • Experience with ERP systems, item setup, customer requests, product data, operations, supply chain or related business processes.
  • Strong attention to detail, cross-functional communication and the ability to manage requests from initial review through completion.
  • The ability to develop and implement effective processes, while proactively identifying opportunities to improve and streamline current workflows.
  • Experience using AI in business practices is preferred.

LANGUAGE SKILLS
  • Strong written and verbal communication skills.
  • Ability to read and interpret documents such as operating and maintenance instructions and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to write, interpret and execute processes.

MATHEMATICAL SKILLS
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

  • Strong skillset in attention to detail and commitment to accuracy.
