Job description

EHC is currently looking for an **Outbound Shipping Manager **for a client in the Hammond, IN area.

Position Summary:

Leads overall operational activities pertaining to the Shipping Department. Utilizes data to plan workload and increase efficiencies within the entire shipping department. Effectively delegates workload to department supervisors and personnel all while maintaining a clean as well as safe working environment.

Essential Responsibilities:

In addition to the Responsibilities of “Outbound Manager”:

  • Ensure all department equipment is in proper working condition (forklifts, pickers, crane, hand tools, etc.)
  • Effectively communicates with department supervisors and upper management.
  • Utilizes the email groups to communicate with Receiving, Front Office, and Sales Departments.
  • Manages Daily operational reports to identify workload and utilize OT as needed.
  • Coordinates with Sales on any request, priority levels, and any issues that may arise.
  • Manages late orders and effectively communicates with sales of expected ship dates.
  • Coordinates with QC on material discrepancies and non-conforming stock material.
  • Process and handles pick tickets by effectively communicating with Sales, Department Supervisors, and QC.
  • Supports Will-call traffic by monitoring ERP system and working with shipping to maintain load time.
  • Manages loading dock space daily by communicating with Logistics and Sales.
  • Effectively trains supervisors on company processes and procedures, submits training records, and identifies areas that need additional training.
  • Conducts production meetings to identify departmental issues and discuss ways to correct them.
  • Identifies areas of improvement while maintaining a clean and safe work environment.
  • Manages shipping personnel on picking, packing, checking, and shipping processes.
  • Effectively organizes and manages a team of employees.
  • Duties are not limited to those described above and may be expanded as needed.

Information and Activities Critical to Process Quality:

Material Verification and Documentation:

  • Visual inspection
  • Heat numbers of each line item written on the PPS.
  • Marking on the material matches what is written on the PPS.
  • PPS is properly filled out.
  • Ensure information on the wrapped pallet is properly written out.
  • Ensure the BOL is placed on the correct orders prior to shipment.

Coordinates with sales:

  • Quantity changes on orders.
  • Hot shipments
  • Cancelation requests
  • Ship via
  • Material discrepancies
  • Order substitutions
  • Project orders

Will Calls and Small Parcel Shipments:

  • Ensure vehicles are correctly loaded in a timely manner.
  • Photo verification of each shipment leaving the shipping docks.
  • Verify all Small Parcel Shipments are packaged correctly, labelled, and sent UPS same day.

Shipping Dock:

  • Ensure dock is organized and clear for forklift traffic.
  • All shipments are placed in the correct lanes for shipment.
  • Daily checks for missed shipments.

QMS:

  • Train on Department Work Instructions & Job Scope.
  • Train on Quality Policy and Department Processes.
  • Process flow.
  • Conduct meetings and submit training records.
  • Quarterly competency reviews on personnel.
  • Effectively identify areas that need additional training.

Safety:

  • Hold brief daily safety meetings with department personnel.
  • Maintain clear aisle ways and organize racks as well as dock space.
  • Maintain equipment checklists.
  • Quarterly maintenance on equipment (hand tools, pickers, forklifts, etc.).
  • Enforces and monitors "Lock Out/Tag Out" protocols.
  • Communicates equipment breakdowns and safety hazards to upper management as well as HSE.
  • Ongoing responsibility of creating and implementing a safe work environment.

Qualifications:

  • Speak and read English. Bilingual Spanish preferred.
  • 5+ years of pipe, valve, and flange industry experience preferred.
  • Ability to read and understand industry specifications, charts, and tables.
  • High School Diploma or GED.
  • Basic computer skills. Experience with Microsoft Word, Excel, and Outlook preferred.
  • Must have average reading, writing, and mathematical skills.
  • Capable of lifting 50lbs. with back support.
  • Able to stand and operate a variety of equipment as assigned.
  • Take initiative and can work independently.
  • Requires a high level of attention to detail.
  • Able to handle multiple tasks and priorities.
