Role Overview
The Materials Specialist is a critical operational role within Heven AeroTech's Logistics Department, responsible for the accurate and timely management of materials, components, and supplies that support production, assembly, and program delivery. Reporting directly to the Director of Logistics, this individual will coordinate the end-to-end materials lifecycle-from procurement support and receiving through inventory control, kitting, and issuance to manufacturing and engineering teams. This role is ideal for a detail-oriented, proactive professional who takes ownership of their work (hungry), collaborates effectively across teams (humble), and exercises sound judgment in managing materials in a regulated environment (smart). The ideal candidate brings hands-on experience with aerospace or defense supply chains and a strong commitment to maintaining material integrity and traceability.
Key Responsibilities
  • Maintain accurate inventory records in ERP/MRP systems, ensuring real-time visibility of stock levels, locations, and status
  • Conduct cycle counts, physical inventories, and reconciliation activities to ensure data integrity
  • Identify, investigate, and escalate discrepancies, shortages, or excess inventory conditions
  • Manage shelf-life, serialized, and lot-controlled materials in accordance with quality and regulatory requirements
  • Process inbound shipments by verifying quantities, part numbers, and documentation against purchase orders
  • Coordinate with Quality Assurance on incoming inspection and properly segregate non-conforming materials
  • Accurately log receiving transactions and maintain associated records (packing lists, certifications, COCs)
  • Pick, kit, and stage materials for production work orders, ensuring accuracy and on-time delivery
  • Collaborate with Manufacturing and Program teams to anticipate and meet material needs
  • Return unused or surplus materials to stock and process system transactions accordingly
  • Prepare outbound shipments, including packaging, labeling, documentation, and carrier coordination
  • Ensure compliance with ITAR/EAR export control requirements
  • Maintain accurate shipping records and communicate status updates to stakeholders
  • Support procurement activities by communicating requirements, lead times, and delivery status
  • Assist in resolving supplier issues, discrepancy reports (DRs), and return-to-vendor (RTV) actions
  • Adhere to AS9100, FAA, and internal Quality Management System (QMS) requirements
  • Maintain a clean, organized, and FOD-free workspace
  • Proactively identify opportunities to improve materials flow, reduce waste, and enhance efficiency

Required Qualifications:
Required
  • Associate's degree or equivalent combination of education and relevant materials/logistics experience
  • Minimum 2 years of experience in materials, warehouse, or supply chain (aerospace, defense, or advanced manufacturing preferred)
  • Proficiency with ERP/MRP systems (e.g., SAP, Oracle, NetSuite, IFS) and Microsoft Office Suite
  • Experience with serialized and lot-controlled parts and traceability documentation
  • Ability to read and interpret engineering drawings, BOMs, and purchase orders
  • Working knowledge of ITAR/EAR export compliance requirements
  • Forklift certification or ability to obtain within 30 days of hire
  • Strong attention to detail, organizational skills, and ability to manage multiple priorities

Preferred
  • Bachelor's degree in Supply Chain, Business, or related field
  • Experience supporting AS9100-certified or FAA-regulated environments
  • APICS CPIM or similar certification
  • Familiarity with UAS, propulsion systems, or avionics components
  • Experience with Lean/5S practices

Physical Requirements:
  • Ability to lift and carry materials up to 50 lbs unassisted; team-lift for heavier items
  • Ability to stand, walk, bend, and reach for extended periods in a warehouse or production environment
  • Comfortable working in shop floor conditions, including noise, temperature variation, and handling materials with appropriate PPE
  • Ability to maintain focus and accuracy in a fast-paced, operational setting
  • Occasional overtime, including weekends, may be required to support program milestones
