The Mailroom Clerk ensures that service is provided to customers in the mail room and throughout assigned areas in the Materials Management Department that supports accurate and timely billing processes and supply maintenance.
Hours: Monday - Friday 8:00 am - 4:30 pm.
MAJOR ACCOUNTABILITIES/ESSENTIAL JOB DUTIES:
  • Program copy machines to provide quality, print attributes, and quantity of copies needed to meet print requests
  • Validate that copy machines are properly working, order and add supplies as needed, and request service when needed
  • Assist others in department with their job duties to accomplish department goals.
  • Act as a backup to Materials Management Coordinator
  • Deliver internal mail to appropriate locations.
  • Assist customers with understanding where to place mail to ensure timely delivery
  • Use postage machine and input proper information so that letter/package is sent in a way needed by the sender
  • Reconcile USPS postage usage reports to the meter reports.
  • Prepare a breakdown of postage charges for Accounting.
  • Provide billing information to Accounting for resident charges and employee personal mail charges
  • Reconcile UPS bill and breakdown of UPS charges for Accounting.
  • Provide billing information to Accounting for residential and employee personal UPS charges
  • Be the subject matter expert (SME) for best ways to ship packages and send letters.
  • Work with staff and residents to assure that packages are packed and taped to meet standards offered by USPS, FedEx, and UPS
  • Be able to identify print jobs that may not meet Westminster Canterbury Richmond (WCR) standards and work with Public Relations Coordinator to make improvements to documents to meet the standards
  • Additional duties as assigned

Requirements
PHYSICAL REQUIREMENTS:
  • Ability to lift 25 pounds without assistance, 26+ pounds with manual or mechanical assistance
  • Ability to bend, stoop, reach and crawl under equipment as needed
  • Ability to walk two miles per day pushing cart of up to 200 pounds

REQUIRED KNOWLEDGE, SKILLS AND ABILITY:
  • Ability to work independently with minimal supervision
  • Computer key-board skills
  • Microsoft Office with an emphasis on Excel and Word
  • Knowledge of copy machines and how jobs are input
  • Demonstrated ability to provide outstanding customer service
  • Ability to communicate in a clear, concise manner to all customer groups

DESIRED KNOWLEDGE, SKILLS AND ABILITY:
  • Previous experience with printing and automated postage equipment

REQUIRED EDUCATION AND EXPERIENCE:
  • High School Diploma

DESIRED EDUCATION AND EXPERIENCE:
  • Six months copy machine printing experience
  • Associate degree preferred
