Job description

The Sales Support Coordinator plays a critical role in supporting executive leadership and enabling sales, marketing, and account management success. This role combines classic executive support with sales operations, marketing coordination, and office administration responsibilities to help the organization operate efficiently and deliver a strong client experience.
Key Responsibilities
Marketing & Brand Support
• Support social media activities by monitoring engagement metrics and basic performance analytics.
• Assist with marketing campaigns, including newsletter list management, and compliance.
• Update and maintain website content to ensure accuracy of offerings and messaging.
• Participate in Business Development / Sales meetings and update sales and BDM collateral.
• Oversee key marketing tools and platforms, monitoring how forms and workflows integrate with the CRM to ensure accurate data capture.
• Assist with podcast production and distribution, including basic editing and posting.
Sales Operations & CRM Support (Zoho & Apollo)
• Support the completion and coordination of RFPs, including gathering input from multiple departments and attending review meetings.
• Research AI, sales tools, and integrations (e.g., Apollo, Zoho) to support sales workflows and enablement.
• Coordinate with Zoho support, schedule demos, and assist with internal testing of workflows.
• Evaluate third-party tools for compatibility with internal systems and processes.
• Manage Zoho for day-to-day administrative updates and campaign support.
• Build and maintain campaign workflow automations to add/remove contacts from mailing lists.
• Manage Zoho chatbox and lead-routing logic and workflows.
• Support monthly all-hands meetings by coordinating with departments and updating slide content.
• Manage Apollo lead generation activities, including setting up and maintaining sequences and campaigns.
• Program email campaigns and provide day-to-day support to the sales team.
Executive Support
• Manage calendars, schedule meetings, and ensure executives are prepared with agendas, materials, and follow-ups.
• Receive and route calls, messages, and correspondence in a timely, professional manner.
• Assist executives with personal tasks, where appropriate and approved.
• Prepare, edit, and format reports, presentations, and briefs.
• Maintain organized digital and physical filing and documentation systems.
• Coordinate office catering, meeting logistics, and building maintenance requests.
Requirements
Required
• High school diploma or equivalent.
• Proven experience as an Administrative Assistant or Executive Assistant supporting senior leaders.
• Strong understanding of office management systems and procedures.
• Proficiency with Microsoft Office 365 (Outlook, Word, Excel, PowerPoint).
• Ability to handle sensitive information with a high degree of confidentiality and discretion.
• Excellent planning, organization, and time management skills, with the ability to prioritize multiple demands.
• Strong written and verbal communication skills.
Preferred
• Experience working with Zoho CRM, Apollo, or similar CRM/marketing automation tools.
• Experience supporting sales, marketing, or revenue operations teams.
