We're looking for an organized, detail-oriented Marketing Support Coordinator to help keep our sales and marketing operations running efficiently. This role is ideal for someone who enjoys working with data, technology, and people while supporting a fast-paced sales organization.

Position Summary

The Marketing Support Coordinator provides administrative and operational support to the Business Development team by maintaining CRM data, preparing reports, coordinating client communications, and assisting with marketing initiatives. This position plays a key role in ensuring accurate reporting, supporting account executives, and helping strengthen relationships with clients.

Key Responsibilities

Warranty Coordination & Operational Execution

  • Serve as the primary administrative point of contact for warranty-related requests from existing customers.
  • Receive, document, and triage warranty claims, ensuring all requests are accurately entered into company systems and routed to theappropriate Operations team.
  • Coordinate scheduling and communication between customers, Account Executives, Project Managers, and Operations to ensure warranty work is completed promptly.
  • Monitor the progress of warranty jobs from intake through completion, proactively following up to remove roadblocks and ensuretimelyresolution.
  • Maintain detailed records of warranty activity, customer communications, project status, and final outcomes.
  • Ensure customers receive consistent updates throughout the warranty process, delivering a positive post-project experience that reinforces Dry Force's commitment to service.
  • Assistleadership inidentifyingrecurring warranty trends and provide reporting that helps improve quality, customer satisfaction, and operational performance.

Sales Operations & CRM Management

  • Maintainaccuratecustomer, prospect, and sales activity information within Luxor CRM.
  • Audit Account Executive activity daily to ensure CRM accuracy, complete documentation, and pipeline integrity.
  • Assist with CRM maintenance, data cleanup, reporting accuracy, and sales process compliance.
  • Prepare client reports, sales dashboards, and performance metrics for Business Development leadership.
  • Generate weekly, monthly, quarterly, and ad hoc reports to support forecasting, business development, and strategic decision-making.

Marketing & Business Development Support

  • Support the Director of Business Development & Strategic Partnerships with administrative projects, reporting, meeting preparation, and follow-up on key initiatives.
  • Assistwith marketing campaigns, promotional materials, customer communications, networking events, trade shows, sponsorships, and community outreach.
  • Maintain marketing databases, prospect lists, and customer contact information to support ongoing sales and marketing initiatives.
  • Help prepare presentations, proposals, and client-facing materials for Business Development activities.

Cross-Functional Collaboration

  • Act as a liaison between Business Development, Operations, Customer Experience, and other internal teams to ensure warranty projects and customer requests move efficiently through completion.
  • Coordinate project follow-up, communicate status updates, and help resolve administrative issuesimpactingcustomer satisfaction.
  • Identifyopportunities to improve warranty workflows, reporting processes, customer communication, and administrative efficiency through continuous process improvement.

Additional Responsibilities

  • Perform other administrative, marketing, and operational support duties as assigned to support departmental and companyobjectives.

Qualifications

Required

  • High school diploma or equivalent (Associate's or Bachelor'sdegree preferred)
  • 2+ years of administrative, marketing support, sales support, or customer service experience
  • Strong Microsoft Office skills, particularly Excel and Outlook
  • Excellent organizational and time management skills
  • Strong written and verbal communication abilities
  • Ability to prioritize multiple tasks in a fast-paced environment
  • Detail-oriented with excellent accuracy

Preferred

  • Experience using CRM software (Luxor, Salesforce, HubSpot, or similar)
  • Experience supporting a sales team
  • Basic understanding of reporting and data analysis
  • Experience within restoration, construction, or service industries is a plus
