This role focuses on tracking detailed task execution, maintaining project documentation, coordinating cross-functional deliverables across workstreams, and ensuring seamless handoffs between incumbent and incoming agency teams.**Responsibilities:*** Task & Schedule Tracking: Maintain detailed project plans, workstream schedules, and task boards across transition pillars (e.g., tech access, data transfer, account setup, asset handoffs).* Cross-Functional Coordination: Serve as a central point of contact for tracking day-to-day deliverables across Strategy, Planning, Analytics, and Operations teams.* Transition Workstream Execution: Monitor progress on transition workstreams to keep milestones on track.* Status Reporting & Documentation: Draft weekly status reports, agenda items, meeting notes, and action-item trackers for internal stakeholders and agency partners.* Meetings: Schedule meetings between internal and agency teams for work sessions and status updates* Approvals and sign off: Ensure appropriate approvals are received from key stakeholders* Risks & Issues Logging: Track and escalate potential blockers, timeline delays, or technical access issues to the Project Management Lead/Manager.* Project or program management experience collaborating across broad groups of cross-functional stakeholders* Attention to detail and ability to keep projects or programs on track and problem solve in real-time* Demonstration of excellent written and verbal communication across varying functional groups and levels* Strong facilitation skills, able to collaborate, plan, execute and follow-up on meetings at the team level* Organized and able to self-manage details of multiple projects, deadlines and changing priorities simultaneously while maintaining strong and accurate work**Basic Qualifications:*** Bachelor’s Degree* 3+ years of project management experience within an advertising agency, marketing operations, or client-side media environment.* Experience with digital marketing, media buying, or agency transitions is a strong plus.* Proficiency with Project Management software (e.g., Asana, Jira, Workfront)* Proficiency in Google Suite* Strong organizational skills, keen attention to detail, and excellent verbal/written communication skills.**Preferred Qualifications:*** PMP (Project Management Professional) certification* 4+ years of Project Management experience* Experience using WorkfrontEEO EmployerApex Systems is an equal opportunity employer.
