Position Summary Information
Job Description Summary
The Student Administrative & Office Assistant provides administrative, customer service, marketing, and event support for Schmid College of Science and Technology.
This position assists with daily office operations, communications, student and visitor engagement, event coordination, and marketing initiatives while serving as a professional representative of Schmid College and the Dean's Office.
Responsibilities
  • Provide general administrative and office support for Schmid College and the Dean's Office.
  • Serve as a receptionist and primary point of contact by greeting visitors, answering phones, responding to inquiries, and directing individuals to appropriate campus resources.
  • Assist the Schmid College Marketing Manager with creating and distributing communications, including newsletters, blog posts, promotional materials, and other marketing content.
  • Create and edit social media content, graphics, flyers, and event promotional materials.
  • Assist with managing and maintaining Schmid College social media platforms, including Instagram, TikTok, LinkedIn, and other digital channels.
  • Support the planning and execution of college events, including coordinating logistics, tracking RSVPs, event setup, check-in, and breakdown activities.
  • Create, maintain, and update spreadsheets, databases, reports, and other records as requested.
  • Assist with financial and purchasing processes, including purchase requisitions, invoice collection, expense reimbursement documentation, and receiving activities.
  • Maintain office supply inventories and assist with ordering and organizing materials as needed.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Support special projects and departmental initiatives as assigned.
  • Perform other duties as assigned.
Required Qualifications
  • Strong customer service and interpersonal skills.
  • Excellent written and verbal communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple tasks and priorities in a fast-paced office environment.
  • Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
  • Proficiency with Microsoft Office Suite and Google Workspace applications.
  • Ability to learn new systems, software, and departmental procedures.
  • Reliable, professional, and able to work independently and collaboratively.
Desired Qualifications
  • Previous experience in an office, administrative, customer service, or student support role.
  • Experience using Canva, Instagram, TikTok, LinkedIn, YouTube, or other social media platforms for marketing or content creation.
  • Experience with photography, videography, graphic design, or digital media production.
  • Familiarity with video editing software such as Adobe Premiere Pro or similar platforms.
  • Experience planning events, managing communications, or supporting marketing initiatives.
  • Current student within Schmid College of Science and Technology preferred.
  • Interest in science, technology, research, higher education, communications, or marketing.

Training will be provided on office procedures, customer service expectations, university systems, event support responsibilities, and departmental communication standards.
Special Instructions to Applicants
Availability to work 8-16 hours per week between the hours of 8:00 am to 5:00 pm, Monday through Friday.
