Position Summary

We are seeking a highly organized and detail-oriented Administrative Coordinator / Production Support Specialist to support daily operations in a fast-paced manufacturing and engineering environment. This role will assist with ordering parts, tracking schedules, coordinating with vendors, maintaining documentation, and supporting production and engineering teams.
The ideal candidate is comfortable working with Bills of Materials (BOMs), understands basic manufacturing workflows, and can help keep projects, materials, and schedules aligned.

Job Description

Key Responsibilities

  • Read and interpret Bills of Materials (BOMs)
  • Order production and engineering parts from approved vendors
  • Track purchase orders, deliveries, shortages, and backorders
  • Maintain accurate inventory and material tracking records
  • Coordinate schedules between engineering, production, and suppliers
  • Update spreadsheets, ERP systems, and internal tracking documents
  • Assist with production planning and material readiness
  • Communicate with vendors regarding pricing, lead times, and order status
  • Support engineers and technicians with administrative and logistical tasks
  • Organize and maintain documentation, work instructions, and records
  • Help identify material shortages or schedule risks before they impact production
  • Attend planning or status meetings and provide updates as needed

Qualifications

  • Previous administrative, coordinator, purchasing, or manufacturing support experience preferred
  • Ability to read and understand Bills of Materials (BOMs)
  • Strong organizational and multitasking skills
  • Comfortable working in a manufacturing or technical environment
  • Proficient with Microsoft Excel, Outlook, and general computer systems
  • Experience with ERP/MRP systems is a plus
  • Strong communication and follow-up skills
  • Detail-oriented with the ability to manage multiple priorities simultaneously

Preferred Experience

  • Manufacturing, aerospace, electronics, or production environment experience
  • Experience supporting engineering or test departments
  • Familiarity with part numbers, revisions, inventory tracking, and procurement processes
  • Understanding of production schedules and material flow

Work Environment

  • Office and manufacturing floor environment
  • Frequent interaction with engineering, production, and supply chain personnel
  • Fast-paced environment requiring strong prioritization and communication skills
