Office Manager – Russell Marine Smith Lake

We are looking for a highly organized, detail-oriented Office Manager to oversee the daily administrative and accounting operations of our growing marine dealership. This position plays a vital role in supporting our Sales, Service, Parts, Accessories and Finance departments while ensuring our customers receive an exceptional experience from start to finish.

Responsibilities

  • Manage daily office operations and administrative staff.
  • Process customer deposits, payments, and financing paperwork.
  • Manage company checkbooks, receipts, and office accounts
  • Prepare daily bank deposits and cash reconciliation
  • Manage and track inventory for retail merchandise and parts to ensure adequate inventory levels
  • Order and maintain office supplies
  • File and maintain accurate customer, vendor, and dealership records
  • Manage and complete storage work orders in a timely manner
  • Answer and directs phone calls while providing excellent customer service
  • Greet and assist customers in a professional manner
  • Maintain organized office systems and ensure all paperwork is completed accurately
  • Sort and receive retail merchandise in a timely manner
  • Coordinate and support dealership events and projects as needed
  • Help coordinate and create social media posts, events, and campaigns
  • Assist with payroll processing and employee onboarding paperwork.
  • Maintain accurate customer, vendor, and inventory records.
  • Coordinate title, registration, and documentation for boats and trailers as required.
  • Prepare reports for management and maintain confidential records.
  • Support the Sales, Service, Parts, and Finance departments with administrative needs.
  • Ensure compliance with company policies and applicable state and federal regulations.
  • Perform general office duties and other responsibilities assigned by management

Qualifications

  • Previous office management, dealership administration, or accounting experience preferred.
  • Experience with marine, automotive, or powersports dealerships is a plus.
  • Strong knowledge of Microsoft Office (Excel, Word, Outlook).
  • Experience with dealership management software is preferred.
  • Excellent organizational and time management skills.
  • Strong communication and customer service abilities.
  • Ability to multitask while maintaining attention to detail.
  • High level of integrity and professionalism.
