Job description

We are seeking a highly professional, organized, and proactive Executive Assistant to the CEO to provide high-level administrative and operational support to the CEO. The ideal candidate will be fluent in both Mandarin Chinese and English and have several years of experience working in an American corporate/business environment.


This position requires someone who understandsU.S. business culture and can effectively communicate, coordinate, and build relationships in such environment. The successful candidate must be comfortable working directly with senior leadership, handling confidential information, managing multiple priorities, and representing the CEO professionally.


Key Responsibilities

  • Provide comprehensive administrative and executive support to the CEO.

  • Coordinate meetings with internal teams, executives, customers, vendors, business partners, and external contacts.

  • Prepare meeting agendas, presentations, reports, correspondence, and other executive materials.

  • Attend meetings with the CEO, take detailed notes, and follow up on action items.

  • Serve as a key communication liaison between the CEO, employees, management, and external business partners.

  • Communicate and translate effectively between Mandarin Chinese and English, both verbally and in writing.

  • Help bridge communication and cultural differences between U.S.-based employees/business partners and Chinese-speaking executives or partners.

  • Handle confidential and sensitive business information with a high level of discretion.

  • Conduct research and prepare summaries, reports, and recommendations for the CEO.

  • Follow up with departments and managers on projects, deadlines, and requests from the CEO.

  • Assist with special projects and business initiatives as assigned by the CEO.

  • Coordinate domestic and international travel, including flights, hotels, transportation, itineraries, and meeting schedules.

  • Help organize executive meetings, company events, and business activities.

  • Monitor and prioritize incoming communications, emails, and requests on behalf of the CEO.

  • Perform other duties and projects as assigned.


Qualifications

  • Fluent in Mandarin Chinese and English, with strong verbal and written communication skills in both languages.

  • Several years of professional experience working in the United States, preferably in an executive assistant, administrative, operations, project coordination, or similar role.

  • Strong understanding of American workplace culture, business etiquette, and professional communication.

  • Excellent organizational and time-management skills.

  • Ability to manage multiple priorities and work effectively in a fast-paced environment.

  • Excellent attention to detail and follow-through.

  • Strong Microsoft Office skills, including Outlook, Word, Excel, and PowerPoint.

  • Professional demeanor, strong interpersonal skills, and excellent judgment.

  • Ability to handle confidential information with discretion.

  • Must be flexible and willing to work outside normal business hours when necessary to accommodate executive meetings, travel, or urgent business matters.

  • Bachelor's degree preferred.
