Overview:

INTECON, LLC is seeking highly organized, proactive, and customer-focused Senior Executive Administrative Specialists to support executive leadership within the Defense Counterintelligence and Security Agency (DCSA) Headquarters (HQ).

This position provides comprehensive executive, administrative, and business operations support to senior government leaders and front offices across DCSA, including organizations such as the Office of the Director, Strategy & Integration (S&I), Office of General Counsel (OGC), Logistics Management Office (LMO), and other HQ directorates.

The selected candidate will serve as a trusted advisor and operational coordinator responsible for executive calendar management, correspondence, task management, meeting coordination, office operations, reporting, and stakeholder engagement. The ideal candidate thrives in a fast-paced, high-visibility environment requiring exceptional attention to detail, sound judgment, discretion, and the ability to manage multiple competing priorities while supporting senior executives.

Key Responsibilities:
  • Executive Support:
    • Provide comprehensive executive administrative support to senior government leaders and Front Office staff.
    • Manage complex executive calendars, scheduling priorities, travel, conferences, and leadership engagements.
    • Coordinate internal and external meetings, conferences, executive briefings, and special events.
    • Prepare executive correspondence, memorandums, briefing materials, reports, presentations, and other official communications.
    • Exercise sound judgment when prioritizing requests, resolving scheduling conflicts, and managing executive workflows.
  • Task Management & Executive Coordination:
    • Manage organizational taskers from receipt through completion using Government task management systems such as CATMS or similar platforms.
    • Track action items, suspense dates, deliverables, and executive correspondence to ensure timely completion.
    • Coordinate responses across multiple offices and organizations.
    • Maintain executive tracking tools, dashboards, and workload reports.
  • Office Operations:
    • Support daily front office operations, ensuring efficient administrative processes and continuity of operations.
    • Coordinate visitor access, conference room scheduling, telecommunications, and office logistics.
    • Assist with onboarding and offboarding activities, workspace coordination, and Government Furnished Equipment (GFE) accountability.
    • Maintain office records, shared drives, electronic filing systems, and administrative documentation.
  • Communications & Correspondence:
    • Prepare, review, edit, and proofread executive-level correspondence, reports, briefing papers, and presentations.
    • Coordinate incoming and outgoing correspondence, ensuring accuracy, completeness, and compliance with agency standards.
    • Monitor shared inboxes and distribute communications appropriately.
    • Support document management, formatting, version control, and records management activities.
  • Program & Business Operations Support:
    • Compile recurring reports, metrics, dashboards, and executive summaries.
    • Support planning and execution of organizational initiatives, meetings, ceremonies, training events, and special projects.
    • Assist with travel coordination using the Defense Travel System (DTS), meeting logistics, and administrative packages.
    • Maintain organizational calendars, trackers, Standard Operating Procedures (SOPs), and reference materials.
  • Stakeholder Engagement:
    • Serve as a liaison between executive leadership and internal/external stakeholders.
    • Coordinate activities across DCSA directorates, DoD organizations, military services, and industry partners.
    • Maintain professional communications while representing executive leadership.
Clearance Requirements:
  • Active Top-Secret (TS) security clearance is required; TS/SCI clearance is preferred.
Qualifications:
  • Associate's degree in Business Administration, Management, Communications, Public Administration, or related field; Bachelor's degree preferred. Relevant experience or certifications may substitute for a degree.
  • Minimum 10 years of high-level administrative experience supporting senior executives in government, military, or large-scale corporate environments.
  • Minimum 5 years of progressively responsible executive administrative, business operations, or program support experience within the DoD or other Federal agencies.
  • Minimum 3 years supporting senior executives, SES, Flag Officers, General Officers, Senior Directors, or equivalent leadership.
  • Experience supporting high-visibility front office operations requiring discretion and independent judgment.
  • Experience coordinating multiple projects and priorities simultaneously.
