Atlantic Pacific Companies is seeking a highly motivated, organized, detail-oriented, and tech-savvy Executive Assistant to join our team. This is a highly visible role that works directly with our President of Development, supporting the Executive Leadership Team and helping keep our Development operations running smoothly.
The Executive Assistant provides high-level administrative and operational support to the Executive Leadership Team, with a strong focus on supporting the President of Development. This trusted, highly visible role allows leadership to stay focused on strategic priorities by managing executive workflows, communications, and key business processes. Because this position works so closely with senior leadership, we are looking for someone with excellent organizational skills, sharp attention to detail, and confidence using technology and business software to keep everything on track.
Responsibilities include, but are not limited to:
  • Serve as a trusted, highly visible partner to the President of Development, anticipating needs and keeping leadership informed on priorities and business matters
  • Manage executive calendars, schedule meetings, and coordinate travel arrangements
  • Draft, edit, and distribute executive communications, reports, presentations, and board materials
  • Handle confidential correspondence, contracts, and sensitive information with discretion
  • Coordinate billing, vendor invoices, and payment tracking
  • Manage expense tracking, receipt collection, and company credit card reconciliation
  • Oversee Deal Day workspaces and reporting, tracking deadlines and ensuring accurate, on-time submissions
  • Maintain and update Development team SmartSheets, workspaces, and file organization
  • Support development closings by preparing, organizing, and coordinating signature and notarization of documents
  • Maintain office logistics, greet visitors, and provide general administrative and company support

Requirements:
  • Associate's degree or equivalent combination of education and experience
  • One to two years of related administrative or executive support experience preferred
  • Strong computer skills, including Microsoft Word, Excel, PowerPoint, and Outlook; experience with SmartSheet or similar project management tools is a plus
  • Excellent attention to detail and organizational skills, with the ability to manage multiple priorities in a fast-paced environment
  • Strong written and verbal communication skills
  • Sound judgment and the ability to handle confidential information with discretion
  • Comfortable working closely and directly with senior executives in a highly visible role
