Controller / Office Manager - Toyota Dealership

A large Toyota dealership in Dallas, Texas is seeking an experienced and detail-oriented Controller / Office Manager to oversee dealership accounting operations and administrative functions. This leadership role is responsible for maintaining accurate financial records, ensuring compliance with dealership policies and manufacturer requirements, managing office personnel, and supporting operational excellence across all departments.

The ideal candidate is a highly organized professional with strong automotive accounting experience, exceptional leadership skills, and the ability to manage multiple priorities in a fast-paced dealership environment.

Responsibilities
  • Oversee all dealership accounting functions, including general ledger, accounts payable, accounts receivable, payroll, and financial reporting
  • Prepare and analyze monthly financial statements and management reports
  • Ensure timely and accurate completion of month-end and year-end closing processes
  • Maintain internal controls and accounting procedures to safeguard company assets
  • Monitor cash flow, bank reconciliations, and daily accounting activities
  • Ensure compliance with federal, state, and local regulations, as well as manufacturer reporting requirements
  • Manage office operations and administrative processes to support dealership efficiency
  • Supervise and develop accounting and office personnel, including hiring, training, scheduling, and performance management
  • Coordinate annual audits and work closely with external accountants and financial institutions
  • Review and reconcile vehicle inventory schedules, contracts in transit, warranty receivables, and related dealership accounts
  • Partner with department managers to support budgeting, forecasting, and financial planning initiatives
  • Monitor expense controls and identify opportunities for process improvements
  • Maintain confidentiality of financial and personnel information
  • Assist executive leadership with special projects and operational initiatives as needed
Requirements
  • Strong knowledge of dealership accounting principles and financial reporting practices
  • Previous experience managing accounting and administrative teams
  • Ability to interpret financial data and provide actionable recommendations
  • Excellent organizational, analytical, and problem-solving abilities
  • Strong communication and interpersonal skills
  • Ability to prioritize tasks and meet deadlines in a high-volume environment
  • Proficiency with dealership management systems and accounting software
  • Commitment to accuracy, professionalism, and continuous improvement
Education and/or Experience
  • Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred
  • Minimum of 5 years of automotive dealership accounting experience required
  • Previous experience as a Controller, Assistant Controller, Office Manager, or similar leadership role within an automotive dealership environment preferred
  • Toyota dealership experience is a plus
  • CPA designation is beneficial but not required
