Responsibilities

Marketing & Enrollment Pipeline

Lead Management: Execute high-volume outreach (calls, texts, emails) to prospective students and families using HubSpot.

Response Time: Maintain elite-level response times to new inquiries, ensuring no lead goes cold.

Lead Nurturing: Guide families through the entire enrollment process, from initial outreach to completed enrollment application, including providing tours of the building.

Pipeline Accuracy: Ensure the enrollment dashboard is real-time and reflects the true status of every prospective student.

Administrative & Office Management

Front Desk Leadership: Serve as the primary point of contact for the school, welcoming guests and managing all incoming communications with professionalism.

Attendance Integrity: Own the daily student sign-in/out process; record and report attendance in the SIS within the first two hours of the school day.

Records Compliance: Collect and verify all required enrollment documentation (transcripts, residency, etc.) to ensure 100% compliance with state and authorizer standards.

Facility "Ship Shape": Implement and maintain organizational standards for the front office and entire school environment.

Student & School Support

Student Onboarding: Coordinate the logistical and IT onboarding for new students, ensuring they have the tools needed to begin their academic journey.

Retention Support: Partner with Family Advocates and Success Coaches by providing accurate data on student absences and withdrawal risks.

Event Support: Assist in the planning and execution of school-wide events such as orientations, community outreach, and graduation.

Qualifications

Required

Must be bilingual in English and Somali to successfully communicate with our students and families.

High School Diploma or equivalent.

Demonstrated experience in a customer-facing role (sales, recruitment, or high-level administration).

Exceptional tech fluency; ability to master new software platforms within a few days.

Proven ability to manage multiple priorities in a fast-paced, high-stakes environment.

Strong written and verbal communication skills.

Useful / Preferred

Experience with HubSpot or similar CRM platforms.

Experience in K-12 education, charter schools, or social services.

Bilingual (Spanish/English) is a significant plus.

Familiarity with Ohio school compliance and SIS platforms.
