The Soft Services Specialist is responsible for supporting soft services operations, under approved processes and procedures in accordance with the requirements of all local, state and federal mandates. The Soft Services Specialist will be expected to provide superior client service while enhancing their individual personal and professional skills. The role is Client facing and the Soft Services Specialist must be able to exhibit exceptional customer service and communication skills, both in-person and virtually.
Key Responsibilities:
  • Ensure food services, mail services, conference services, copy centers, fitness centers, media services, secure destruction services, & parking are executed in a manner consistent with the Client's global standard processes, professional brand image, and compliant with applicable local laws, rules and regulations
  • Conduct monthly / quarterly / annual on-site operational assessments of vendor service level agreements, compliance with policies and regulations, and performance metrics to ensure flawless execution and stable service delivery for the Client
  • Build strong relationships and work collaboratively within the facility management team in the delivery of the services across all business lines (Engineering, Transactions, Projects, Planning, etc.) and coordinate with vendors and the Client
  • Anticipate and respond to Client's needs and concerns. Serve as the initial point of contact for Client employee inquiries and issues related to Soft Services
  • Ensure the customer experience is at the forefront of every client interaction while still adhering to approved policies and procedures
  • Assist with the routing and dispatching of work orders to technical staff, vendors or other services providers
  • Identify potential risks and escalate, as appropriate, to ensure no privacy breeches, security incidents or disruption to the Client's operations occur
  • Engage in a culture of continuous improvement and innovation by leveraging business intelligence, adopting and participating in the development of best practices, new tools, process re-engineering and other ideas that provide service delivery efficiencies
  • Support ongoing cost reduction programs to reduce operating costs while managing risk
  • Implement strategic initiatives at the direction of the Soft Services leadership
  • Perform additional job duties, as requested

Qualifications
  • Bachelor's degree or equivalent education and experience
  • 2 - 3 years prior experience in supply chain (vendor) management, operations, hospitality services, facility / property management experience and/or knowledge of commercial real estate, preferred
  • Outstanding attention to detail
  • Ability to manage multiple priorities and deliver results in a fast-paced environment
  • Highly collaborative with strong interpersonal skills and track record of excellent internal and external customer service
  • Ability to work independently - strong prioritization and time management skills
  • Highly organized with a proactive mindset
  • Excellent verbal and written communication skills with the ability to communicate professionally
  • Proficient skills in Microsoft Office Suite (Excel, Work, PowerPoint, Visio, Outlook, and Access)
