Location: Palm Harbor, FL

Position Type: Full-Time | Outpatient Clinic

Schedule: Monday - Friday | 8:00 AM - 5:00 PM (No Nights, No Weekends!)

Are you an experienced medical office manager who excels in an entrepreneurial, private-practice environment? Do you have the operational expertise, business mindset, and initiative to help scale a premier solo-practitioner practice to its next level?

We are seeking a high-energy, hands-on Medical Office Manager to lead daily operations and drive growth for a cutting-edge Pain Management and Regenerative Medicine practice in Palm Harbor, FL.

This is much more than a routine office management role-you will serve as a key operational partner to the Physician-Owner. You'll have direct influence over building workflows, developing the team, elevating the patient experience, and executing business development strategies that directly impact practice success.

Key Responsibilities
  • Operational Leadership: Oversee day-to-day outpatient operations, patient flow, scheduling, and clinic logistics.

  • Practice Growth & Business Development: Partner with the physician-owner to execute patient acquisition strategies, optimize EMR systems, and expand local referral networks.

  • Team Management: Recruit, train, mentor, and supervise administrative and clinical staff to build a culture of accountability and exceptional patient care.

  • Financial & Workflow Optimization: Monitor operational KPIs, streamline patient intake/checkout, and collaborate with billing/revenue cycle personnel to optimize collections.

  • Vendor & Supply Chain Management: Oversee inventory, medical supplies, laser/shockwave equipment, and facility vendor relationships.

  • Patient Experience: Ensure white-glove, compassionate care for a patient population primarily composed of Medicare/senior adults (65+).

Required Qualifications
  • Education: Bachelor's Degree or higher.

  • Experience: Minimum of 3+ years of hands-on Medical Office / Private Practice Management experience in a solo-practitioner setting.

  • Specialty Expertise: 3+ years of direct experience in Pain Management & Regenerative Medicine (including familiarity with interventional pain, PRP, laser therapy, and shockwave therapy).

  • EMR Mastery: Hands-on proficiency with eClinicalWorks (eCW) is strictly required.

  • Track Record: Proven ability to build workflows, grow patient volume, and manage clinic finances.

Preferred Qualifications
  • Clinical Background: Active RN or LPN license/certification is a strong plus (though not required).

  • Language: Bilingual (English/Spanish) capabilities.

  • Marketing: Hands-on experience with healthcare marketing, community outreach, and referral development.
