Job description

Beloit Health System is hiring a Hendricks Family Heart Hospital Secretary to join our team in our busy Cardiovascular Services Department in our Cardio Interventional Clinic located at Beloit Memorial Hospital.
  • Shift: 1st
  • Schedule: 8:30a-5:00p
  • Hours per week: 40 hours per week

The Hendricks Family Heart Hospital Secretary greets all patients, visitors and vendors who enter the fourth floor. The Hendricks Family Heart Hospital Secretary schedules Cardiovascular Services Department visit appointments, creates outpatient encounters, registers all Cardiovascular Services Department appointment types, in addition to checking in the appointments and collecting applicable copayments. The Hendricks Family Heart Hospital Secretary creates messages for providers in order to facilitate communication between providers and patients, obtains permission from patients to get records from other facilities for continuing care, reschedules and readjusts department schedules as the need arises, and assists family members and vendors.
The Hendricks Family Heart Hospital Secretary will:
  • Greet patients and families courteously and complete timely registration.
  • Answer incoming calls promptly and professionally.
  • Schedule appointments and take messages accurately, ensuring all relevant information is recorded.
  • Screen and route phone calls, manage faxes, and facilitate communication between patients, staff, and physicians.
  • Verify insurance eligibility, obtain treatment authorizations, and complete check-in processes, including demographic updates, insurance verification, copay collection, and insurance card scanning.
  • Direct patients to appropriate waiting areas and verify emergency contact information.
  • Ensure compliance with all government and regulatory requirements.
  • Complete patient registration, admission, discharge, Medicare, and quality assurance forms accurately, obtaining all required signatures.
  • Collect and process patient payments (cash, check, debit, and credit card).
  • Refer insurance, billing, payment, account, and medical records questions to the appropriate department.
  • Process and coordinate medical record transfer requests.
  • Receive and route patient forms, including FMLA and workers' compensation documentation, to the appropriate departments.
  • Perform other duties as assigned.

Job Requirements:
  • High School graduate or equivalent required.
  • Comprehension and implementation of the Cerner maintenance manual.
  • Medical terminology and/or medical reception experience preferred.
  • Excellent organizational, verbal communication and interpersonal relation skills to be utilized with coworkers, patients and the public.
  • Ability to work independently in a fast paced environment while keeping information private and confidential.
  • High level of flexibility is required.
