Sales Operations Coordinator

The Sales Operations Coordinator is the organizational and technical backbone of the sales function. This role keeps the sales pipeline, customer data, presentation materials, and follow-up actions on track and current, freeing the sales team to stay focused on customers and revenue-generating activity. It combines strong project and data discipline with the ability to build polished, customer-ready materials and to drive multiple workstreams to completion with minimal supervision.

Key Responsibilities

Own CRM data integrity ? maintain and update customer, prospect, opportunity, and activity records so pipeline information is accurate, current, and reportable.

Maintain the sales pipeline ? track and report across gov, schools, police & fire, challenge coin, and wholesale accounts; catalog all new items with images, pricing, and quotes on the appropriate trackers.

Own trade show execution ? handle all pre- and post-show logistics, coordination, materials, and follow-up.

Build sales presentations and materials ? produce polished, customer-ready decks, proposals, and collateral from rough inputs for the sales team; keep all sales materials current.

Track action items to completion ? manage follow-ups across the sales team and ensure timely closure.

Coordinate the sales calendar ? schedule meetings, customer visits, presentations, and sales travel agendas.

Process sales documents ? handle sales orders, quotations, and related documentation accurately.

Coordinate cross-functionally ? interface with finance, production, purchasing, logistics, and customer service on sales-related matters.

Required Skills & Qualifications

Advanced Excel ? builds and maintains trackers, pivot tables, and clean reporting from raw data (not just data entry).

PowerPoint ? creates polished, customer-ready presentations and proposals independently, from rough inputs to finished deck.

Outlook ? advanced calendar, meeting, and travel coordination across multiple people.

Highly organized ? exceptional project and time management; able to run multiple workstreams simultaneously without dropping details.

Self-directed ? follows projects from initiation through completion with minimal supervision.

Strong communicator ? excellent written and verbal communication by phone and email.

Detail-oriented ? high accuracy in data entry and reporting.

1?3 years of sales support, sales operations, or comparable administrative/coordination experience.

Experience with ERP and CRM systems; customer service experience preferred.
