Position Summary:

The Operations Specialist is responsible for coordinating operational readiness, supporting field locations, and ensuring the successful implementation of operational processes, systems, and business initiatives. This role acts as the primary liaison between field operations and corporate support teams, coordinating projects, system enhancements, communications, and operational changes that enable safe, efficient, and consistent execution across all sites.

The Operations Specialist plays a key role in supporting business transformation, maintaining operational documentation, administering operational systems (including CRM and Cardlock), and ensuring field teams are prepared for new initiatives.

Responsibilities:

 

  • Coordinate operational readiness activities for new programs, products, systems, and business initiatives.
  • Develop and maintain readiness checklists, implementation plans, and communication materials.
  • Ensure field locations have the resources, training, and documentation required for successful implementation.
  • Monitor implementation progress and resolve readiness issues.
  • Coordinate cross-functional operational initiatives involving Operations, IT, Marketing, Supply Chain, Finance, HR, and other support teams.
  • Serve as a central point of contact for operational projects affecting field locations.
  • Facilitate communication between corporate departments and field operations.
  • Track project milestones, risks, and action items.
  • Coordinate operational changes and ensure appropriate communication to field teams.
  • Support development of change management plans.
  • Gather feedback from field teams to improve implementation effectiveness.
  • Support administration and maintenance of Customer Relationship Management (CRM) systems.
  • Coordinate CRM updates and enhancements.
  • Assist with user access, issue resolution, and user support.
  • Monitor CRM data quality and compliance with operational standards.
  • Coordinate operational support for Cardlock locations.
  • Support Cardlock process improvements and system updates.
  • Coordinate issue resolution with internal departments and external vendors.
  • Maintain operational documentation related to Cardlock operations.
  • Coordinate distribution of operational updates and procedural changes.
  • Track operational readiness metrics and project status.
  • Prepare reports and dashboards for leadership.
  • Identify trends and recommend process improvements.
  • Participate in Lean, continuous improvement, and operational excellence initiatives.

Qualifications:

  • Bachelor's degree in business or commerce. Majoring in project management, operations management, or related discipline or equivalent combination of education and experience.
  • Technical preference: Project Management designation (PMP) with Change Management considered an asset.
  • 5-8 years progressive experience in project management, project coordination, project implementation, business operations, or business analysis.  
  • Excellent organizational and planning skills with a high level of data accuracy and integrity, data management, reporting management with focus on attention to details.
  • Demonstrated ability manage competing priorities independently and coordinate effectively across multiple stakeholders and operational groups.
  • Advanced proficiency in Customer Relationship Management (CRM) systems, ERP platforms, and Power BI.
  • Microsoft 365 tools, specifically Microsoft project or other project management platform with the ability to work across systems.
  • Strong written and verbal communication skills with the ability to work effectively with internal and external stakeholders.
