Job description

You are a highly organized and detail-oriented professional with experience in document control and project support within a fast-paced environment. As our Document Control Coordinator, you will play a critical role in managing project documentation throughout its lifecycle, ensuring accuracy, compliance, and timely distribution of records. You thrive on maintaining organized systems, supporting project teams, and improving document management processes to ensure efficient execution and successful project delivery.

Essential Responsibilities:
  • Administer and maintain project document control systems and processes in accordance with company and client requirements
  • Receive, track, review, distribute, and archive project documentation, ensuring all records are accurate, current, and properly filed
  • Monitor document revisions, version control, approvals, and transmittals to ensure the integrity of project documentation
  • Coordinate the flow of documentation between project teams, clients, subcontractors, and other stakeholders
  • Maintain document registers, logs, and databases, ensuring information is up-to-date and readily accessible
  • Ensure compliance with document control procedures, quality standards, and project requirements.
  • Support project teams by preparing reports, tracking document status, and providing updates on outstanding deliverables
  • Assist with the collection, organization, and turnover of project records and closeout documentation.
  • Interface and communicate effectively with management, field personnel, clients, subcontractors, and vendors regarding document-related matters
Qualifications:
  • Diploma in Office Administration, Business Administration, Information Management, or a related field; or an equivalent combination of education and experience
  • 2-4 years of document control, records management, project coordination, or administrative experience, preferably within construction, industrial, or project-based environments
  • Experience working with document management systems (DMS), project management software, and electronic filing systems
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, SharePoint)
  • Strong understanding of document control principles, including revision management, document numbering, transmittals, and records retention
  • Exceptional attention to detail with the ability to audit, verify, and maintain accurate project documentation
  • Strong organizational and time-management skills with the ability to prioritize multiple tasks and meet deadlines
