Job Summary:

The Learning Automations & Systems Specialist is responsible for managing the Learning Team's platforms, ensuring data accuracy, and improving operational efficiency through technology solutions to support scalable learning experiences.
Responsibilities:
• Manage backend operations of Staff Portal, LMS, and Mailchimp, including user accounts, org structure updates, and platform access management.
• Ensure all three platforms are accessible and accurately reflect current org structure, including new staff, transitions, team changes, and location updates across 46+ locations and every Central team.
• Own the integrations that connect the Learning Team's platforms to organizational systems of record, including the IT/HR data sync to the LMS and Staff Portal.
• Partner with IT and Data Insights to maintain integration integrity and ensure data flows accurately between systems as the org grows and changes.
• Serve as the primary point of contact for platform vendors, manage tickets, feature requests, and roadmap conversations in partnership with Learning Team leadership.
• Perform regular platform audits to identify accuracy gaps, outdated content, and configuration issues before they become problems flagged by leadership.
• Train and support Learning Team members on platform tools so the whole team benefits from new capabilities, current trends, and improved ways of working within existing systems.
• Partner with Content and Media Production functions of Learning Team to identify connections between the team’s growing tool set and build the bridges between them.
• Eliminate manual handoffs, duplicate data entry, and workarounds across the team’s tool stack to return capacity to the team for higher-value work.
• Evaluate and pilot AI and emerging technology capabilities that could improve the team’s workflows and the quality of staff learning experiences.
• Identify how platform and technology capabilities can improve what staff encounter as learners, and partner with Learning Team functions to apply those improvements.
• Own LMS completion tracking and reporting and partner with LT Events Manager for event and session attendance data to deliver regular, usable data to leadership for strategic decisions.
• Partner with Learning Team leadership and HR/Data Insights to create visibility of staff learning journey data.
• Build and maintain recurring reports that give team leaders visibility into how their team members engage with required and optional learning.
• Surface Staff Portal content engagement data to Team Space owners so Central teams can see how their resources are being used across the organization.
• Work toward a consolidated Learning Team dashboard that gives leadership and the broader Learning & Development Group a consistent, real-time view of engagement and platform performance.
• Shift the team from reactive data delivery to proactive insight, identifying gaps, trends, and opportunities before they are requested.
• Support Asana project management infrastructure, including project templates, recurring project setup, and workflow improvements.
• Maintain and improve team-wide operational processes, including onboarding systems, event prep tools, and internal resource organization.
• Support the Production Manager with tech setup and execution for learning events, serving as a capable partner for in-person, virtual, and hybrid sessions.
• Evaluate and improve team workflows as the organization and platform landscape evolve.
Qualifications:
Required:
• Excellent verbal, written, and interpersonal communication skills to clearly explain technical processes and foster cross-functional partnerships.
• Strong technical aptitude with the ability to learn, configure, and manage complex platforms and integrations with minimal guidance.
• Ability to identify inefficiencies and build practical solutions through automation, scripting, or tool configuration.
• Strong analytical and data skills; ability to organize, interpret, and communicate engagement data in a clear and actionable way.
• Ability to manage multiple priorities and projects simultaneously in a fast-paced environment.
• Passion for enabling a high-functioning team by removing friction, improving systems, and making the infrastructure invisible.
• High School Diploma or GED.
• Proven experience in platform administration, systems operations, data reporting, or a related technical role.
Preferred:
• Bachelor's degree in related field preferred.
• Experience with LMS platforms, CMS/intranet tools, email audience management, or project management systems preferred.
